Major Northern New Jersey & New York Law firm seeks a Billing Specialist and Billing Supervisor (listed below):
Billing/AR Specialist:
Work closely with Billing Members to ensure that all client billings are properly processed and accurate.
- A minimum two years legal billing and or AP/AR experience prefered;
- Providing billing support to attorneys and support staff to ensure client bills are prepared according to client and vendor guidelines;
- Compiling attorney time to bill clients ;
- Following up with attorneys prior to deadlines;
- Reviewing pre-bills and process billing edits;
- Preparing client invoices electronically and in paper format;
- Submitting, processing and tracking invoices; resolving billing issues via electronic and web based billing;
- Setup of specialized client billing requirements and audit of invoices to ensure compliance, accuracy and timely completion;
- Completing all billing to meet established deadlines;
- MS Word and Excel skills are preferred, and Aderant experience is a plus;
- A College degree is a plus;
- Aderant, CMS, and/or Rainmaker Software a major, major plus;
- Process all vendor invoices for payment;
- Process daily check requests;
- Cost all client vendor charges to appropriate clients;
- Open new cases in accounting software;
- Back-up to processing conflict searches;
- Distribute and reconcile monthly American Express charges;
- Enter court deposit charges into Rainmaker to charge clients;
- Prepare Daily Cash report;
- Obtain W-9’s and prepare year-end 1099’s;
- Specialist will interact with attorneys, firm management, paralegals and assistants and clients so top communication and customer service skills are critical. Candidates should have superior organizational and deadline management skills and work well in a busy environment.

Billing Supervisor:
Billing Supervisor is responsible for the supervision of billing specialists, and for overseeing the billing process, which includes managing the production of client invoices in an accurate and timely manner.
Duties and Responsibilities:
- Supervises the billing specialists’ work assignments, provides training for newly-hired billing specialists, and maintains oversight, in conjunction with controller, of the billing team as a whole as related to personnel matters;
- Provides guidance to clients, attorneys, billing specialists and legal assistants who encounter issues as related to the firm’s billing procedures;
- Responsible for resolving problems that occur with billing and/or client matter issues;
- Conducts monthly departmental billing meetings to review billing schedule, changes and other pertinent matters, as necessary;
- Develop and implement procedures to streamline and continuously improve the efficiency of billing processes. Provides overflow assistance to the billing team as needed;
- Provides training for newly hired attorneys and legal assistants;
- Maintains hands-on knowledge of all billing related functions in order to provide proper training, back up, and support including, but not limited to, bill preparation, write off management and special rate management;
- Monitors unbilled monthly reports, and assists with resolving billing delays;
- Implements and continually monitors billing procedures as they relate to firm guidelines;
- Promotes a positive team environment while optimizing and balancing cross-team visibility.
- Qualifications and Skills:
- The ideal candidate must have a four-year degree in finance, accounting or a related field, and at least seven (7+) years of related experience, including management, in a legal services environment;
- Experience with Aderant Expert Time and Billing systems is essential;
- Proficient in all Microsoft applications;
- Other skills include strong interpersonal, organizational and project management;
- Must be a great communicator (both written and verbal), and be detail orientated.
