Event Operations Specialist
- Prepare event venues by organizing equipment, signage, staging, furniture, and technology according to event specifications.
- Work with internal teams and external vendors to coordinate deliveries, staging, and onsite resources.
- Verify that all operational requirements are in place prior to event start time.
- Serve as a primary point of contact onsite for event operations and client support.
- Oversee event check-in, attendee flow, registration processes, and onsite services to ensure a smooth experience.
- Monitor event schedules and coordinate with staff to maintain workflow and timelines.
- Communicate operational needs and updates to relevant teams and stakeholders throughout the event.
- Assist with setting up audiovisual equipment, software integrations, badge printing stations, and event technology platforms.
- Troubleshoot technical or operational issues quickly and efficiently during events.
- Ensure all equipment is functioning properly prior to and throughout events.
- Interact professionally with attendees, exhibitors, and clients to address questions, resolve issues, and provide guidance.
- Maintain a friendly, solution-oriented approach, ensuring client expectations are met or exceeded.
- Provide real-time updates and escalation support to management as needed.
- Follow all safety protocols and ensure compliance with venue policies, local regulations, and company standards.
- Assist in maintaining a secure and orderly event environment for participants and staff.
- Support event breakdown, equipment return, and cleanup efforts.
- Provide feedback and post-event reports on operational successes and areas for improvement.
- Update internal documentation to reflect best practices and learnings for future events.
- High school diploma or equivalent; additional education in event management, hospitality, or related fields is a plus.
- Previous experience in event operations, hospitality, customer service, or logistics.
- Excellent organizational skills and attention to detail.
- Ability to thrive in fast-paced, changing environments and manage multiple priorities simultaneously.
- Strong communication and interpersonal skills.
- Problem-solving mindset with the ability to make sound decisions under pressure.
- Technical aptitude with the ability to learn event platforms, registration systems, and onsite technology tools.
- Professional and customer-focused demeanor.
- Ability to work flexible hours, including evenings and weekends, as event schedules require.
