What You'll Do as an Executive Assistant:
- Manage, prioritize, and respond to a high volume of emails on behalf of the President.
- Maintain & update a dynamic calendar with meetings, travel, and industry events.
- Coordinate meetings, lunches, and events, preparing agendas and handling logistics
- Handle confidential information with discretion and professionalism.
- Plan & manage all domestic and international travel, including itineraries, accommodations, and transportation.
- Troubleshoot last-minute travel changes and resolve logistics issues quickly.
- Coordinate onboarding for new hires within the President's departments, including IT access and workspace setup.
- Organize orientation sessions and introductory meetings for new direct reports.
- Prepare polished presentations, reports, and executive summaries as needed.
Our Ideal Executive Assistant:
- Experienced: 5+ years supporting C-suite or senior-level executives, preferably within construction, real estate development, or a related industry; must have a high school diploma.
- Professional & Discreet: Exercises sound judgment, integrity, and confidentiality in handling sensitive information.
- Organized & Efficient: Excels at multitasking, prioritizing, and managing shifting deadlines with precision and calm.
- Communicative: Demonstrates exceptional written and verbal communication skills and maintains a polished, professional demeanor.
- Proactive: Anticipates needs, solves problems independently, and adapts to a fast-paced environment.
- Collaborative: Works well within a team, contributing a positive attitude and strong interpersonal skills.
- Tech-savvy: Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Canva) and comfortable using ChatGPT or other AI platforms.
- Active: Able to lift up to 25 lbs. as needed.
