We are looking for a detail-oriented and highly organized Purchasing & Sales Order Coordinator who thrives in a dynamic environment and can confidently manage purchasing, operations, bookkeeping, and sales coordination responsibilities. This role is ideal for someone who enjoys multitasking, problem-solving, and keeping business operations running smoothly from start to finish.

? What You’ll Do
Purchasing & Operations
Manage purchase orders from creation through receipt and invoice matching
Create and process vendor bills and freight payments in NetSuite
Coordinate with vendors on pricing, lead times, and delivery schedules
Monitor inventory levels and initiate replenishment orders
Work closely with warehouse and operations teams to ensure accurate and timely shipments
Resolve discrepancies related to orders, invoices, and shipments
Maintain organized purchasing records and generate operational reports
Complete company forms, vendor applications, and customer setup documentation
Bookkeeping (AR/AP)
Create and send customer invoices accurately and on time
Manage Accounts Payable and Accounts Receivable processes
Perform account reconciliations and collections follow-up
Assist with financial reporting and payment tracking for leadership
Sales Order Coordination
Process sales orders from start to finish, including bulk and drop-ship orders
Keep customers informed on order status, shipping timelines, and updates
Serve as a key point of contact for order-related inquiries
Support the sales team with reporting, documentation, and follow-up communication
Maintain accurate customer and sales data within NetSuite and SmartSuite
? Required Qualifications
NetSuite ERP Experience is REQUIRED

Candidates without hands-on NetSuite experience will not be considered.

3–5 years of experience in purchasing, operations, sales order coordination, bookkeeping, or related roles
Strong working knowledge of:
NetSuite ERP
SmartSuite
Microsoft Excel & Outlook
QuickBooks
Experience with:
Purchase Orders (POs)
Sales Orders (SOs)
Inventory management
Billing & reporting
Accounts Payable & Accounts Receivable
Excellent organizational and multitasking abilities
Strong communication and customer service skills
Ability to work efficiently in a deadline-driven environment
? Preferred Qualifications
NetSuite certification or advanced NetSuite expertise
Experience in wholesale or distribution industries
Familiarity with EDI systems or third-party logistics (3PL)
