JOB SUMMARY: The Regional Director of Administrative Services performs a critical role in ensuring consistent, compliant and efficient operations of the assisted living community's Business Office Manager (BOM) & Director of Administrative Services (DAS) function in each location. This role provides orientation and training guidance to new BOM/DAS staff, re-inservicing and skills development to current BOM/DAS staff, key compliance auditing and recommendations, and functional backup/fill-in support as needed to maintain smooth operations. The Regional Director of Administrative Services has a unique opportunity to onboard new staff in a supportive manner to help ensure success, as well as to mentor existing BOM/DAS staff toward increasing levels of capability, productivity, performance and career advancement. The Regional Director of Administrative Services is a key player on the Bristal Assisted Living Regional/Corporate support team. DUTIES AND RESPONSIBILITIES: 1. Provides onsite onboarding, training and orientation of new BOM/DAS at their respective communities. 2. Performs onsite community internal auditing of BOM/DAS office records and systems, in concert with Corporate HR Manager and VP-HR. 3. Works with VP-HR and Corporate HR Manager to implement and follow up on new HR-related programs, benefits, and other initiatives among all properties. 4. Provides key onsite coverage for BOM/DAS positions at communities in the event of planned and emergent BOM/DAS vacancies, FMLA/non-FMLA absences, vacations, etc. 5. May provide key onsite coverage at the front desk for any emergent needs in absence/vacancy in the BOM/DAS position. 6. Provides key coverage (either onsite or at Corporate) for community AOD Time & Attendance and ADP WFN Payroll processing in the event of BOM/DAS vacancies, in close collaboration with Corporate Payroll Administrator. 7. Provides backup assistance and coverage for Corporate Payroll Administrators at the Corporate offices in the event of emergent needs, vacations, illness, etc. 8. Assists VP of HR and Corporate HR Manager with ongoing inservice training to BOMs, both onsite at communities and at corporate. 9. Assists/works with VP-HR and Corporate HR Manager on HR-related projects in Corporate office on an ad-hoc basis. 10. May assist Corporate HR Team with specific recruiting projects in concert with Sr. Corporate Recruiter during times of peak vacancy searches, new property staff-up, and fluctuations in Sr. Corporate Recruiter workload (as monitored and determined by the VP-HR). Could include activities related to interviewing/hiring DASs, specific searches, assistance to EDs for targeted line-staff recruiting activities, college/university liaisoning, onsite property job fairs, etc. 11. May attend monthly HR related seminars in accordance with Corporate HR Manager and VP-HR. 12. Periodically attend mandatory Front Desk meetings in place or in accordance with the community's BOM/DAS to enforce Policy and Procedure. 13. Have flexibility in daily schedule to attend monthly New Hire Orientation classes throughout communities to maintain consistency throughout all properties. 14. Establishes strong and professional relationships with Executive Directors and all other Directors at each location inside and outside of the Bristal organization. 15. Maintains a particularly strong form of communication between Corporate HR, Executive Directors, and Regional Director of Operations. 16. Send out weekly schedules of property visits to Corporate Support, Corporate HR Manager and VP-HR at the beginning of every week and update as needed. 17. Create, and submit a weekly timecard and Expense Report by the required deadline each week/month. Performs all other related duties as assigned by the VP, Human Resources or COO. EXPERIENCE - AA or Bachelor's degree in Business Administration or related field, or equivalent.
- At least 5 years directly-related and directly-transferrable experience. (If internal candidate, directly-related Bristal experience considered at a premium and possibly less duration)
- Increasingly responsible Human Resources/Administrative experience in the areas of payroll (ADP-WFN preferred), employee relations, training, and employee benefits administration.
QUALIFICATIONS & REQUIREMENTS: - Adherence to and consistent demonstration of The Bristal Core Values at all times.
- Acceptable grade on Bristal AA/BOM Payroll Administration Questionnaire.
- Knowledge of, or ability to learn, NY/NJ Medicaid billing and ALP office administration.
- Ability and desire to travel daily throughout Long Island, NY, Westchester County, NY, and Northern New Jersey any time as needed.
- Have and maintain a good motor vehicle driving record as deemed acceptable by The Bristal and its insurance carrier(s).
- Ability to work extended, unpredictable hours, particularly in light of NY Metro/LI area commuting timing.
- Ability and flexibility to stay overnight occasionally in communities if emergent needs or efficiency dictate.
- Strong work ethic combined with a self-driven, self-motivated, Can-Do attitude.
- Competently independent with little day-to-day supervision or direction needed.
- Ability to schedule time and juggle priorities for efficiency and to maximize productivity.
- Incredibly organized, efficient and resourceful.
- Proficient with MS Word, MS Excel and MS Outlook.
- Working knowledge of, and proven hands-on proficiency with, ADP payroll systems and Bristal Time and Attendance systems preferred.
- Competent and effective oral and written business communications skills (samples of written communication required).
- Utmost confidentiality and ability to maintain superior professionalism at all times and with all parties, internally and externally.
- Polished personal appearance with an eye toward detail and The Bristal atmosphere of elegance.
- Outgoing, pleasant personality with the ability to gracefully finesse varied and changing working relationships.
