About the Company:
We are a busy and growing dump truck and hauling company based in New Jersey, serving commercial and construction clients across the region. We are seeking a dependable and detail-oriented Office Clerk to manage daily billing, maintain office records, and support administrative operations. This is a key role that ensures smooth financial and regulatory processes in a fast-paced environment.
Schedule:
- Monday – Thursday: 9:00 AM – 5:30 PM
- Friday: 9:00 AM – 4:30 PM
- Weekend hours available as needed
Key Responsibilities:
- Prepare and process customer invoices and billing statements using QuickBooks
- Enter, track, and reconcile accounts receivable and payable
- Maintain organized digital and physical files for billing, contracts, vehicle logs, and regulatory documents
- Support compliance with FMCSA and DOT requirements by updating driver logs, maintenance records, and inspection reports
- Utilize Microsoft Excel, Word, and Google Workspace (Docs, Sheets, Gmail, Drive) for document creation and data management
- Communicate with clients regarding invoices, payments, and billing inquiries
- Coordinate with dispatch and operations teams to ensure billing accuracy and timely documentation
- Maintain office supply inventory and manage office-related errands and tasks as needed
- Prepare documentation for audits and assist with month-end financial reporting
- Perform other administrative duties as assigned
Requirements:
- High school diploma or equivalent required; associate degree preferred
- 1–2 years of office experience in a billing or administrative role (transportation industry experience a plus)
- Proficiency in QuickBooks is required
- Strong working knowledge of Microsoft Office (Excel, Word) and Google applications
- Understanding of FMCSA and DOT compliance processes
- Excellent organizational skills with strong attention to detail
- Strong written and verbal communication abilities
- Ability to prioritize tasks, meet deadlines, and work independently
