About the Company:

We are a busy and growing dump truck and hauling company based in New Jersey, serving commercial and construction clients across the region. We are seeking a dependable and detail-oriented Office Clerk to manage daily billing, maintain office records, and support administrative operations. This is a key role that ensures smooth financial and regulatory processes in a fast-paced environment.

Schedule:

  • Monday – Thursday: 9:00 AM – 5:30 PM
  • Friday: 9:00 AM – 4:30 PM
  • Weekend hours available as needed

Key Responsibilities:

  • Prepare and process customer invoices and billing statements using QuickBooks
  • Enter, track, and reconcile accounts receivable and payable
  • Maintain organized digital and physical files for billing, contracts, vehicle logs, and regulatory documents
  • Support compliance with FMCSA and DOT requirements by updating driver logs, maintenance records, and inspection reports
  • Utilize Microsoft Excel, Word, and Google Workspace (Docs, Sheets, Gmail, Drive) for document creation and data management
  • Communicate with clients regarding invoices, payments, and billing inquiries
  • Coordinate with dispatch and operations teams to ensure billing accuracy and timely documentation
  • Maintain office supply inventory and manage office-related errands and tasks as needed
  • Prepare documentation for audits and assist with month-end financial reporting
  • Perform other administrative duties as assigned

Requirements:

  • High school diploma or equivalent required; associate degree preferred
  • 1–2 years of office experience in a billing or administrative role (transportation industry experience a plus)
  • Proficiency in QuickBooks is required
  • Strong working knowledge of Microsoft Office (Excel, Word) and Google applications
  • Understanding of FMCSA and DOT compliance processes
  • Excellent organizational skills with strong attention to detail
  • Strong written and verbal communication abilities
  • Ability to prioritize tasks, meet deadlines, and work independently
