Office Assistant at a Real Estate office with big potentials for the right

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company's general activities. Administrative Assistant responsibilities include preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry, we'd like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Answer and direct phone calls
- Schedule appointments, plan meetings, and take detailed minutes
- Handle email correspondence, memos, letters, faxes, and forms
- Assist in preparing and distributing reports
- Develop and maintain an organized filing system
- Update and enforce office policies and procedures
- Research and order office supplies, ensuring cost-effectiveness
- Maintain contact lists and handle internal/external client inquiries
- Support executive and senior administrative assistants in handling requests and queries from senior managers
- Assist with lease signing, interact with prospective and current residents, and maximize occupancy
- Conduct all business in compliance with relevant laws and regulations
- Greet prospective residents, provide personalized property tours, and follow up on leads
- Provide excellent customer service and assist residents with service requests
- Process lease applications and communicate application results to prospective residents
- Organize and maintain reports, leases, and other paperwork
- Address residents' issues, needs, and complaints diplomatically and fairly
- Manage inventory of office and maintenance supplies, reporting needs to the Property Manager
- Coordinate special resident events in collaboration with the Property Manager
- Take payments from tenants
- Perform any additional duties assigned by the Property Manager
Skills
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in Gmail, Excel, Etc.
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Job Type: Full-time
Pay: $15.00 - $20.00 per hour
Expected hours: 36 per week
