Job Title: Senior Scheduler ( $21 to$22 PER HOUR )

Location: Basking Ridge, NJ 07920
Start Date: 09/22/2025
Duration : 14 weeks Contract
Shift & Schedule:
37.5 hours/week | 7.5 hours/day | 5 days/week
Monday–Friday | 9:00 AM – 5:00 PM

✅ Position Summary
The Senior Scheduler serves as the primary point of contact for families, agencies, and vendors regarding home health aide services. This role manages scheduling for complex cases, maintains client records in the agency’s EMR system, and ensures accurate coordination of care between administrative staff, billing, and clinical teams. The Senior Scheduler also provides leadership support by training and mentoring new Administrative Service Coordinators.
Key Responsibilities
Receive and screen requests for home health aide services.
Communicate with families, agencies, and referral sources to gather supplemental client information.
Explain agency services, policies, and procedures to customers.
Refer service requests outside APCS’s scope to appropriate community resources.
Verify and update client insurance information when appropriate.
Manage a caseload of clients as assigned by the Office Manager.
Maintain accurate client information, including referral, billing details, schedules, and case notes in the EMR.
Schedule home health aides for assigned caseloads and update schedule changes promptly.
Notify case managers of aide changes requiring supervision.
Ensure proper closure procedures are followed when services are terminated.
Track aide performance issues (call-outs, tardiness, work history) and provide recommendations for discipline or training.
Communicate aide status updates and recommendations to the Office Manager.
Notify billing office of changes in billing status and update EMR records.
Collaborate with case managers and the Clinical Manager to respond effectively to client service requests.
Participate in agency planning and performance improvement initiatives.
Manage communication between day staff and evening/weekend on-call staff, ensuring smooth case transitions.
Train and mentor new Administrative Service Coordinators on scheduling processes, EMR usage, and office procedures.

Skills & Experience
Required:
Minimum 1 year of experience in Home Care scheduling or related administrative role.
Customer service experience with strong communication skills.
Excellent organizational and computer skills.
Ability to multitask and operate multiple software systems simultaneously.
Strong telephone etiquette and ability to communicate effectively with clients, families, and staff.
