Technology Operations Project Specialist (Contract)
Job Description
Job Description
About the Role
We're looking for a highly organized, technology-minded professional to help integrate and simplify our internal technology environment.
Over the past several years, our organization has grown through multiple acquisitions. As a result, we have accumulated redundant platforms including Microsoft Outlook and Google Workspace and Gmail, legacy user accounts, inconsistent file structures, outdated permissions, and incomplete technology inventories.
This is not a traditional IT support role.
Instead, you'll work directly with company leadership and our Managed IT Provider (MSP) to own and execute a series of technology cleanup, migration, and standardization projects. Your success will be measured by completed projects, improved organization, and well-documented systems that are easier to maintain long after your engagement ends.
If you enjoy organizing messy environments, improving processes, and leaving systems better than you found them, we'd love to meet you.
Project ObjectivesDuring this engagement, you'll help complete projects such as:
Google Workspace & Microsoft 365- Coordinate and execute the migration of one company from Microsoft 365 to Google Workspace
- Clean up legacy user accounts across Google Workspace, Microsoft 365, and other SaaS platforms
- Archive and transfer ownership of former employee mailboxes, OneDrive accounts, Google Drives, and shared resources
- Audit and standardize user permissions across all platforms
- Remove inactive users, duplicate accounts, and unused licenses
- Design and implement a standardized Google Shared Drive structure
- Organize department folders and establish consistent naming conventions
- Clean up legacy files and folders while preserving important business information
- Standardize file ownership and permissions
- Create and organize Google Groups, distribution lists, and shared mailboxes
- Implement role-based access so employees automatically receive the appropriate permissions based on their department
- Improve user account provisioning and deprovisioning processes
- Standardize onboarding and offboarding processes
- Build and maintain a complete inventory of company laptops and technology assets
- Track device assignments, ownership, lifecycle status, and recovery of former employee equipment
- Recommend improvements for ongoing asset management
- Create Standard Operating Procedures (SOPs) for recurring IT administrative processes
- Document system configurations and organizational standards
- Identify opportunities to simplify repetitive administrative work
- Recommend improvements that increase security, scalability, and operational efficiency
By the end of this engagement, you will have:
- Successfully completed the Microsoft 365 to Google Workspace migration
- Organized and standardized our Google Workspace
- Eliminated legacy user accounts and improved system security
- Organized our Shared Drive structure and permission model
- Created department-based groups and distribution lists
- Built an accurate inventory of company technology assets
- Built standardized onboarding and offboarding processes
- Left behind documentation and repeatable processes that allow the organization to maintain these improvements
We're looking for someone who has done this before, enjoys solving operational technology problems, and seeing projects through to completion.
Ideal candidates will have:
- Experience coordinating or executing technology migrations or cleanup projects
- Experience transitioning businesses from Microsoft 365 to Google Workspace
- Experience managing user accounts, permissions, and cloud-based collaboration platforms
- Strong organizational skills and exceptional attention to detail
- Excellent documentation and process improvement skills
- Strong Microsoft Excel or Google Sheets skills
- Ability to work independently while collaborating effectively with technical and non-technical stakeholders
- High level of professionalism when handling confidential company information
Experience with any of the following is required to qualify for this project:
- Google Admin Console
- Microsoft 365 Administration
- Microsoft Entra ID (Azure Active Directory)
- Google Groups
- SharePoint
- OneDrive
- Google Shared Drives
- SaaS administration
- Identity and Access Management (IAM)
- Single Sign-On (SSO)
- Technology asset management
- Project management software (Monday.com, ClickUp, Jira, etc.)
During this engagement, you'll help answer questions such as:
- How should we migrate one company from Microsoft 365 to Google Workspace?
- How can we simplify employee accounts across multiple companies?
- What's the best way to organize our Shared Drives so they're scalable and easy to maintain?
- How should we automatically grant and remove access when employees join, transfer, or leave the company?
- How do we clean up years of legacy email accounts, personal drives, and unused permissions?
- How can we build a reliable inventory of every company laptop and technology asset?
- What IT administrative tasks should be standardized or automated?
This isn't a maintenance role—it's a transformation project.
You'll have the opportunity to make a lasting impact by organizing and modernizing the technology foundation of a growing multi-company organization. You'll work directly with executive leadership, partner with our MSP, and own meaningful projects from planning through execution.
If you enjoy bringing order to complexity, building scalable systems, and completing projects that have a visible impact on an organization, we'd love to hear from you.
