The Office of Attorney Ethics (OAE) acts as the investigative and prosecutorial arm of the Supreme Court of New Jersey in discharging the Supreme Court's constitutional responsibility to supervise and discipline New Jersey attorneys. The mission of the OAE is expressed by the Supreme Court in its precedents: to preserve public confidence in the Bar and to protect the public from lawyers who fail to comport with the high professional standards articulated in the New Jersey Rules of Professional Conduct.

By Court Rule, the OAE Director administers the programs of the eighteen District Ethics Committees (DECs) throughout the State, which are composed of nearly 700 volunteers (attorneys and non-attorneys). The DEC volunteers are responsible for a caseload that is separate from the caseload handled by OAE attorneys and investigators. The DEC unit of the OAE works with the officers and members of the DECs in their processing, investigating, and prosecuting to completion the caseloads of the DECs. The DEC unit acts to address all requests for legal and administrative advice and assistance from the DECs.

The selected candidate will serve as the coordinator and primary scheduler of the statewide ethics hearings in attorney disciplinary cases. The hearings are conducted either on the Judiciary's Zoom account remotely, or in person in the vicinage courthouses. The selected candidate will be responsible for communications with all hearing presiders and participants, as well as officers of the DECs, to make sure hearings are scheduled and proceed in accord with the time goals set by Court Rule.

In addition, this position provides clerical services in processing records and information from the volunteers who serve on the DECs. This position serves as the frontline contact for the DEC officers, in making sure that the OAE receives and uploads to its database all case records and communications about the DECs' caseloads of grievances under docketing review, as well as all cases in the investigations or hearings stage. This position also has frontline responsibility for answering the phone lines and email requests to the DEC unit.

Remote Work: The Judiciary currently offers a hybrid work schedule, and this position may qualify for up to 2 days of remote work outside of Judiciary buildings. To participate in this program, you will be required to have high speed home internet access.

Example of Duties:

* Act as the liaison and coordinator for disciplinary hearings among presiders, other participants, OAE staff, and any court facilities or services personnel
* Create and maintain an accurate calendar of hearings scheduled, and be the central resource person for that calendar and all its details
* Coordinate adjournment requests
* Update DEC Vice Chairs, hearing presiders and all participants, as needed, as to the status of each hearing
* Regulate workflow and coordinate with OAE personnel to ensure coverage of multiple hearings
* Oversee all arrangements for in-person hearings at courthouses in the vicinages
* Oversee the scheduling of hearing monitors for Zoom and CourtSmart for all hearings, and serve as the CourtSmart or Zoom monitor, whenever needed
* Coordinate training and flow of information about hearing scheduling to all other Zoom and CourtSmart monitors in a timely and professional manner
* Assist as needed in the recruitment of members of the DECs for appointment each year, and in the preparation and presentation of training programs for the members
* Assist team members with work in progress
* Identify those matters that present a case processing or other case specific issue or problem and work with supervisors to address and resolve
* Communicate effectively and perform duties independently, using problem-solving skills without the benefit of being in the location where the problem exists
* Arrange for the appearance or virtual connection of court reporters, interpreters, and incarcerated witnesses
* Facilitate and coordinate telephone/teleconference/videoconference testimony of witnesses, to include inmates when required
* Order transcripts and upload transcripts into case files and distribute CDs of transcripts
* Perform such other duties as assigned by the Director or the Statewide Coordinator

Salary range is $42,827.46 - $58,067.99. For newly hired individuals, the starting salary will normally be at the minimum of the salary range.

Qualifications:
One year of experience in an office environment performing a variety of clerical and support services to include keyboarding and one or more of the following: document or information processing, creation of spreadsheets, handling payments for fees, recording monies received, reconciling balances or accounts and/or scheduling meetings or appointments. It is a basic criterion of eligibility for this position that the candidate has excellent written and oral communication skills, since such skills will be put to use in every aspect of this position.

Note: Experience analyzing statistical data, providing technical assistance for remote hearings conducted through internet platforms (e.g., hosting Zoom meetings for groups greater than seven), scheduling meetings or appointments (particularly for events to be hosted remotely) is preferred.

Testing:
Applicants selected to interview must pass an appointing authority administered examination to demonstrate keyboarding skills at the Judiciary standard of at least 25 words per minute or must have otherwise demonstrated this competency as detailed below.

The appointing authority administered examination is waived for the following applicants who have been deemed to possess keyboarding skills at the Judiciary standard of 25 words per minute:

* All applicants who possess a current typing proficiency certification issued by the New Jersey Civil Service Commission or the New Jersey Judiciary.
* Judiciary staff that have permanent status in a career service title requiring a keyboarding, typing or stenography test. * Judiciary staff in unclassified titles requiring a keyboarding, typing or stenography test.

All applicants will be asked to compose a short writing sample immediately before the start of the interview.

Driver's License: Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle is necessary to perform essential duties of the position.

Residency Law: Pursuant to N.J.S.A. 52:14-7 (L. 2011, Chapter 70), also known as the "New Jersey First Act," all persons newly hired by the Judiciary must establish, and then maintain, principal residence in the State of New Jersey.

Authorization to Work: US citizenship is not required. Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations.
