Position Overview:
The Title Agent Closing Coordinator plays a crucial role in the successful completion of real estate transactions. This position requires a meticulous individual who can manage all aspects of the closing process, from initial file opening to post-closing disbursements and file archiving. The ideal candidate will possess excellent communication, organizational, and problem-solving skills, along with a strong understanding of the real estate closing process. Responsibilities:
As a Title Agent Closing Coordinator, your responsibilities will include, but are not limited to: File Management:
- Opening new title orders and accurately entering all relevant information into the company's software system.
- Maintaining and updating electronic and physical files with all necessary documentation, ensuring accuracy and completeness.
- Tracking critical dates and deadlines to ensure timely completion of all closing requirements.
- Serving as a primary point of contact for attorneys, clients, real estate agents, lenders, and other parties involved in the transaction.
- Communicating effectively and professionally via phone, email, and in person.
- Coordinating closing schedules and locations with all parties involved.
- Following up on outstanding requirements and proactively addressing potential issues.
- Preparing closing disclosures (CDs) and other closing-related documents accurately and in compliance with all applicable regulations.
- Ensuring all necessary documents are executed correctly and in a timely manner.
- Preparing the closing package for the settlement agent.
- Assisting in the closing process as needed.
- Managing the post-closing follow-up, including processing closing packages, document recording and dispersing closing funds.
- Organizing and archiving closed files in accordance with company policies and legal requirements.
- Working collaboratively with other team members to ensure efficient workflow and excellent client service.
- Providing support and assistance to colleagues as needed.
- Minimum of 1-2 years of experience as a closing coordinator or in a similar role within the title insurance, legal or real estate industry.
- Willingness to thoroughly learn the real estate closing process, including title commitments, loan documents and closing disclosures.
- Proficiency in using title and closing software (experience with Accutitle and Simplifile Software is a plus).
- Excellent computer skills, including Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational, time management, and multitasking skills.
- Exceptional attention to detail and accuracy.
- Proven ability to work independently and as part of a team.
- Strong problem-solving and analytical skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
