Reconciliation Clerk

Job Summary:
We are seeking a detail-oriented Reconciliation Clerk to support inventory accuracy and warehouse operations through inventory reconciliation, prestaging support, and material handling. This role is responsible for comparing physical inventory with ERP/WMS system records, investigating discrepancies, and ensuring materials are properly staged for production according to schedules and Bills of Materials (BOM).
The position also assists with cycle counts, inventory audits, documentation, and coordination with warehouse, planning, quality, and production teams. The ideal candidate is organized, dependable, and comfortable working in a fast-paced manufacturing environment while maintaining strict adherence to SOPs, GMP/GDP standards, and safety procedures.
Job Responsibilities:
- Compare physical inventory to ERP/WMS system records and investigate discrepancies.
- Perform cycle counts, spot checks, audits, and end-of-job (EOJ) inventory reconciliations.
- Record and process inventory adjustments within inventory management systems.
- Assist with maintaining accurate inventory levels and resolving missing, damaged, or miscounted items.
- Maintain detailed records of reconciliation activities and documentation for audit purposes.
- Scan reconciliation reports and maintain original files for audit compliance.
- Support internal and external inventory audits as required.
- Organize and stage raw materials, components, and supplies for upcoming production runs.
- Verify staged materials against production schedules and Bills of Materials (BOM).
- Label and document prestaged materials to ensure traceability and accuracy.
- Communicate with production leads and staging coordinators to ensure timely delivery of materials.
- Review daily short-term schedules and confirm all material requests are entered in the ERP system.
- Generate and print pick lists and stage materials in designated staging lanes.
- Verify quantities transferred to production and sign verification documentation.
- Update staging reports and daily operational reports.
- Prepare returns from End of Job (EOJ) processes.
- Maintain staging and reconciliation logs and documentation.
- Perform daily forklift checks prior to equipment operation.
- Follow all SOP, GMP/GDP, and company safety procedures.
- Perform 5S activities as assigned by warehouse management.
- Participate in cycle counts, physical inventories, and year-end inventory processes.
- Complete all required company training programs.
Job Requirements:
- High school diploma or equivalent required.
- Coursework or certification in inventory management is a plus.
- Minimum one -two (1-2) years of fragrance/cosmetic industry or relevant field experience.
- 1-2 years of experience in inventory, warehousing, or production support in a manufacturing setting.
- 1–2 years of experience in inventory control, reconciliation, or warehousing.
- Experience in a fragrance, cosmetic, or manufacturing environment preferred.
- Strong computer and mathematical skills (algebra level or higher preferred).
- Ability to read and write in English (bilingual a plus).
- Proficiency in ERP or inventory management systems such as SAP, Oracle, or WMS.
- Experience using Microsoft Office programs including Excel, Outlook, Teams, Word, and SharePoint.
- Ability to operate warehouse equipment such as sit-down forklifts, stand-up forklifts, electric pallet jacks, walkie riders, and manual pallet jacks preferred.
- Ability to lift up to 75 lbs and stand for extended periods.
- Strong organizational, communication, and problem-solving skills.
- Ability to handle changing priorities and work effectively in a fast-paced, deadline-driven environment.
- Reliable, detail-oriented, and able to work independently or as part of a team.
