Quality Assurance and Compliance Coordinator
GENERAL DESCRIPTION
The Quality Assurance and Compliance Coordinator will be responsible for supporting the organization’s compliance with grant and contract requirements, funder expectations, and internal policies and procedures. This position helps ensure that programs operate in alignment with applicable federal, state, and local regulations, nonprofit standards, and contractual obligations. The coordinator works closely with program staff, finance staff, and leadership to monitor quality, maintain documentation, identify compliance risks, and support continuous improvement across funded programs and services.
ESSENTIAL FUNCTIONS (INCLUDES BUT MAY NOT BE LIMITED TO)
- Monitor grant- and contract-funded programs to ensure compliance with funder requirements, service
- deliverables, budget guidelines, timelines, and reporting deadlines
- Conduct quality assurance reviews of program files, client records, supporting documentation, and administrative processes to ensure accuracy, completeness, and compliance
- Review program operations for adherence to organizational policies, grant agreements, contracts, and regulatory requirements
- Track grant and contract performance measures, required reports, invoicing support, and documentation standards
- Identify compliance concerns, documentation deficiencies, or operational risks and communicate findings to management with recommendations for corrective action
- Assist in the development and implementation of compliance monitoring tools, file review checklists, and quality assurance procedures
- Support program staff in understanding funder requirements, documentation expectations, and quality standards
- Prepare written summaries, compliance reports, corrective action follow-up, and audit support materials
- Maintain organized and confidential compliance records, monitoring results, and supporting documentation
- Assist with preparing for external audits, monitoring visits, site reviews, and funder assessments
- Collaborate with program leadership and administrative departments to strengthen internal controls and improve operational compliance
- Stay informed of changes in nonprofit compliance requirements, funding regulations, and best practices in grants and contracts management
- Entering purchase requests into Intacct for the program
- Develop relationships with new community agencies and employment partners to implementation (i.e.,internships, apprenticeships, mentorship, and employment placement) required contract performance measures.
- All other duties assigned by supervisor.
QUALIFICATIONS/REQUIREMENTS
- At least 2–5 years of experience in nonprofit compliance, grants management, program
- monitoring, quality assurance, auditing, or contracts administration
- Experience reviewing program documentation, case files, reports, and supporting records for compliance
- and quality standards
- Strong organizational, analytical, and problem-solving skills with close attention to detail
- Excellent written and verbal communication skills
KNOWLEDGE ABILITIES
- Knowledge of nonprofit funding requirements, including government grants, private foundation grants, and service contracts
- Familiarity with federal, state, and local regulations affecting nonprofit programs and grant-funded services
- Proficiency in Microsoft Office, especially Word and Excel, and ability to use AI databases or electronic record systems
- Ability to manage multiple priorities, meet deadlines.
- Manage time and prioritize activities
- Strong organizational skills and attention to detail
- Ability to handle sensitive and confidential information with care and professionalism
- Establish and maintain positive working relationships with co-workers
- Meet the clearance requirements of contracting agency
- Collaborative and team oriented.
- Prioritize, work independently, and proceed with objectives with minimum supervision
EDUCATION REQUIREMENTS
• Bachelor’s degree in public administration, nonprofit management, or business administration
