Read more: careers.bms.com/working-with-us . Position Summary: This position will report to and support the Vice President, Worldwide Commercialization Excellence - AI & Omnichannel. We are looking for a dynamic, performance driven, well organized and flexible individual who is a strong team worker and thrives in a fast-paced international environment. Key Responsibilities:
- Perform highly diverse and complex administrative functions, including but not limited to proactive calendar management, domestic and international travel arrangements, preparing expense reports, scheduling administrative day-to-day operations to ensure leadership preparedness and ensuring all deadlines are met
- Responsible for the organization and planning of complex in-person or virtual meetings for globally based teams in domestic and international locations working with local and HQ teams as required.
- Anticipates needs of manager and/or team and takes appropriate steps to produce desired outcome with minimal assistance from supervisor with accuracy and efficiency to meet all deadlines.
- Interface in a professional manner with senior executives and matrix team members, handle confidential information with discretion and demonstrate diplomacy and excellent judgment in dealing with sensitive situations.
- Exhibit a positive work attitude, high productivity and a collaborative approach with other employees across an international environment.
- Prioritizes activities and takes action based on an understanding of department objectives, customer needs, and BMS business strategy.
- Anticipate key issues and implement action plans based on changing priorities and commitments.
- Organizes and continuously modifies multiple processes, programs and procedures in response to a changing environment. Anticipates and creates contingency plans to deal with possible problems and roadblocks.
- Successful candidate must possess at least 10 years of administrative experience, with significant experience supporting an executive.
- Candidate must have a High School diploma, bachelor's degree preferred.
- Candidates must possess strong interpersonal skills in dealing with all levels of management internally and externally.
- Experience in working with an international team is desirable.
- Strong communication skills including excellent verbal and written skills.
- Proven ability to handle sensitive information with confidentiality, discretion and good judgment.
- Must possess the ability to take initiative and adapt to frequently changing priorities.
- Ability to work and think independently with the ability to analyze and solve complex problems with excellent judgment; and provide high quality work with attention to detail.
- Proactive, solution-oriented approach to collaboration with strong decision-making capability to guide assigned projects to successful conclusions.
- In depth knowledge of company internal systems, policies and procedures.
- Candidate must be proficient in Microsoft Office, Outlook, Concur, Purchasing systems, SharePoint and Workday.
