About the Role:
The HR /Payroll Assistant in the Transportation and Warehousing industry plays a crucial role in supporting the human resources department to ensure smooth and efficient HR operations. This position is responsible for assisting with recruitment processes, maintaining employee records, and facilitating communication between management and staff. The HR Assistant helps implement HR policies and procedures that comply with industry regulations and company standards. By managing administrative tasks and supporting employee relations initiatives, this role contributes to a positive workplace environment and operational excellence. Ultimately, the HR Assistant helps the organization attract, retain, and develop talent critical to the success of transportation and warehousing operations across the United States.
Minimum Qualifications:
- High school diploma or equivalent required; Associate’s degree in Human Resources, Business Administration, or related field preferred.
- At least 3-4 years of experience in an administrative or HR support role.
- Basic knowledge of HR principles, employment laws, and best practices.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills and attention to detail.
Preferred Qualifications:
- Experience working in the transportation, logistics, or warehousing industry.
- Familiarity with HR information systems (HRIS) ADP and applicant tracking systems (ATS)
- Excellent interpersonal and communication skills to effectively interact with employees at all levels.
- Ability to handle sensitive information with discretion and maintain confidentiality.
Responsibilities:
- Assist in the recruitment process by posting job openings, screening resumes, and coordinating interviews.
- Maintain and update employee records in HR databases ensuring accuracy and confidentiality.
- Support onboarding activities for new hires, including preparing documentation and facilitating orientation sessions.
- Respond to employee inquiries regarding HR policies, benefits, and procedures in a timely and professional manner.
- Prepare HR reports and assist with payroll processing and benefits administration as needed.
- Ensure compliance with federal, state, and local employment laws and regulations relevant to the transportation and warehousing industry.
Enter and track garnishments, ensure deductions are active and inactive upon completion
Updating employee addresses, tax withholding forms, and tax withholdings
Tracking employee status changes
Tracking payroll corrections
Responding to routine payroll question ( PTO balances, copy of paystub/W2, pay date inquiries)
Organizing payroll files for audits
Maintain a daily issue log
Publish weekly payroll reports for Managers
Skills:
The HR/Payroll Assistant utilizes strong organizational and communication skills daily to manage multiple administrative tasks efficiently and support employee relations. Proficiency in Microsoft Office enables the creation and maintenance of accurate records, payroll reports, and correspondence. Knowledge of HR principles and employment laws ensures compliance and helps in addressing employee inquiries effectively. Additionally, interpersonal skills are essential for fostering positive interactions with candidates, employees, and management, contributing to a collaborative and supportive workplace culture.
