Recruiting Operations Specialist

Summary: The Recruiting Operations Specialist will provide operational and administrative support and expertise to the Talent Acquisition (TA) team throughout the recruitment cycle. This role focuses on streamlining and improving the recruiting process by managing systems, workflows and data integrity. The incumbent will also work with candidates, hiring managers, and leadership to provide a seamless candidate experience. They will be responsible for scheduling interviews, leading the onboarding process, producing monthly and ad hoc reporting, developing new reports and assisting in identifying pertinent metrics. Will occasionally serve as a backup to the Human Resources Coordinator. Reporting to the SVP, Human Resources Officer, this essential role is located in the Corporate Headquarters.
Job Responsibilities:
Interview Support- Collaborates with the TA team, hiring managers, and candidates to schedule interviews. Ensures timely and consistent communication throughout the interview process with all parties;
- Assists TA team in escorting candidates to interviews;
- Supports the early stages of the Summer Intern recruitment process;
- Develops and implements strategies to improve the candidate experience.
- Leads the Onboarding Process; from offer acceptance to date of hire. Including background checks, candidate follow up, and TA team follow up;
- Ensures continuity with the Technology Department for all new hires joining the Company;
- Drafts and maintains pre-employment documentation including offer letter templates.
- Produces monthly reporting;
- Develops new and ad hoc reports as needed;
- Assists and supports in the creation of pertinent TA metrics; example time to fill and cost per hire;
- Assists in the creation of operating procedures at a regular cadence as well as updates to those procedures;
- Develops and maintains relevant training materials for recruiters and hiring managers.
- Occasionally serves as a backup to the HR Coordinator;
- Optimizes ATS/Recruiting System for efficiency;
- Assists with implementation and configuration of new recruiting technologies.;
- Collaborates with Technology Department and vendors to troubleshoot issues with recruiting systems;
- Performs other job-related duties as assigned.
Required
- Bachelor's degree;
- 3 - 5 years' experience in a recruiting function;
- ADP or other ATS experience;
- Ability to work and communicate across an organization at all levels including Executive level;
- Strong analytical and problem-solving skills. Ability to analyze data, identify trends and create reports;
- Ability to identify and resolve issues in the hiring and onboarding process;
- Excellent written and verbal communication skills;
- Exceptional attention to detail;
- Strong organizational and time management skills;
- Customer service driven;
- Familiarity with relevant regulations, laws and best practices;
- MS Office experience.
- Bachelor's Degree in Human Resources, Business Administration, or related field preferred.

Schedule:
This role is eligible for a hybrid schedule; 3 days in the office and 2 days work from home based on business need.
