POSITION DESCRIPTION
Position: Assistant Controller
Department: Office of Finance
Reports To: Controller
Classification: Exempt
General Description
The Assistant Controller has responsibility for supporting the Controller on all aspects of financial reporting. Principal responsibilities will include preparing financial reports and working with external auditors and the internal accounting staff. Responsibilities will include overseeing the preparation of financial statements in accordance with Generally Accepted Accounting Principles (GAAP). Focus will also include maximizing use of financial systems, improving reporting processes and ensuring a sound control environment as a basis for the financial statements. The financial statements will include the insurance fund, medical plan, Catholic Cemeteries, Pension Plans and Retired Priest Fund as well as assisting with the Chancery financials. Responsibilities will include acting as a liaison with the Archdiocesan auditors (internal and external) as well as other Departments.
Specific Duties/Responsibilities
The following specific responsibilities are representative of the duties required in this position. They may be unilaterally but reasonably changed based on the working environment and departmental needs.
- Assist in the monthly close process and year - end audit(s) related to the financial statements referred to above
- Ensure timely and accurate preparation, and/or review, of account reconciliations, analysis and other reports as needed for the preparation of financial statements
- Review, implementation and adherence to internal controls
- Review and prepare financial reports for various departments and entities
- Develop, implement and ensure adherence to a documented system of accounting policies and procedures
- Review/approval of journal entries
- Review/approval of purchase invoices that are routed for approval in the GL system
- Streamline processes within the financial statement preparation and close processes
- Maintains the fixed asset and depreciation schedule for the Pastoral Center, including ensuring that new purchases are properly capitalized if applicable.
- Maintains the net asset schedule for the Pastoral Center
- Oversees the lease accounting information gathering and coordination with the third party consultant including the review of completed schedules for the audit.
- Assessment and proper recording of transactions in accordance with GAAP
- Help manage the productivity of day-to-day activities of the staff.
- Serve as a back-up for other staff when needed
- Other functions as assigned by the Controller
Qualifications/Skills
- Solid knowledge of GAAP
- Excellent organizational and communication skills, both verbal and written
- Experience working on external audits
- Strong technical and time management skills
- Knowledge of Microsoft Dynamics and JET reporting is a plus
- Ability to prioritize, schedule and complete multiple assignments
- Ability to work with minimum supervision
- Proficient in Microsoft (Outlook, Excel and Word)
- Proficient in the use of Adobe
- Ability to maintain confidential information
- Ability to professionally challenge existing processes with a view toward improving the quality, timeliness and efficiency of the accounting and finance functions
Education and/or Experience (Preferred)
- Bachelor’s degree in accounting, and a CPA
- Extensive experience in progressively responsible positions in accounting, financial management, budgeting and internal controls
- Five years of managerial level experience in accounting or finance, including Not for Profit industry experience and public accounting
