Supervisor, Materials Management - Full Time - Day
- Works closely with Site Manager in all aspects of the Distribution department within a Community hospital or equivalent (less than 250 beds). Supervises technicians and assists them with daily tasks when necessary. Identify inefficiencies and discuss with Manager and make recommendations to improve productivity. Communicates with all team members within the facility or remote locations, special requests, product recalls, product evaluations. Oversees the supply and equipment requirements for the shifts, instructs and acts as a resource for team members in all daily job functions. Assist in new team member interviews, changes to employee schedules, and the employee disciplinary process. Monitors staff attendance and the adjustment log entries. Observes workflow and makes adjustments if required to ensure distribution standards are maintained. Coach or encourage the Materials Distribution Technicians. Observe competencies and report performances of team members for input in evaluations.
- Input of time and attendance. Record and monitor team member attendance records.
- Knows the location, purpose and proper methods to care for supplies and equipment used routinely for patient care and acts as a resource to all departments with regard to product, equipment and service availability. Assists team members filling orders and restocking the medication dispensing systems and other supply storage areas, when necessary. Monitor cleaning assignments for Storage areas, aisle locations and the bulk area. Stock shelves and rotate stock as needed to minimize obsolescence. Monitor equipment set-up and availability of replenished Code Carts.
- Responsible for ordering supplies for assigned locations within the warehouse. Enter requisitions, track supply orders, and maintain the bulk storeroom area in the absence of the Inventory Controller. Reports item description, unit of measure discrepancies and low stock items to the Inventory Controller, to resolve or minimize problems. Use Email to inform customers of important inventory concerns or changes. Participates in staff meetings and addresses department concerns. Works with the MM Corporate team, identifying any changes to the item master. Attend meetings when Manager is unable to attend.
- Active participant in all technological enhancement to the inventory system, including bar coding and label generation.
- Assist with entry of issues, returns, orders in the PeopleSoft Financial system, ensuring all entered timely and accurately. Review equipment and cart tracking log books, verify that entries are complete and make corrections when necessary. Research discrepancies to the inventory system. Ensure performance and enter service requests with follow-up on all service calls and materials are available for completing assignments. Complete responsibility task lists weekly and monthly equipment set up spreadsheet and review with Manager. Handle or report special requests for product additions or deletions to the Manager.
- Other duties and/or projects as assigned.
- Adheres to HMH Organizational competencies and standards of behavior.
- High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
- Minimum of 5 or more years of experience in Central Distribution. Knowledge of medical supplies is essential.
- Adaptable to changes and positive leadership experience required. Good workplace interactions, quality communication skills and team oriented essential. Inventory Control and Warehouse experience required.
- Knowledge of computers and printers. Flexible and able to train team members. Takes responsibility and is committed to learning and accepts adapting quality improvement processes. Problem solving ability required.
- Ability to manage complexity and prioritization.
- Excellent written and verbal communication skills.
- Proficient computer skills that may include but are not limited to Microsoft Office and/or Google Suite platforms.
