The Inventory & Purchasing Clerk supports a global supply chain by managing inventory accuracy, coordinating purchasing activities, overseeing international shipments, and monitoring foreign exchange impacts on cost. The role also contributes to operational excellence through the creation of Standard Operating Procedures (SOPs) and close collaboration with multiple departments. Proficiency in Microsoft Dynamics GP and Microsoft Dynamics 365 Business Central (BC) is essential for success.

Core Responsibilities

• Maintain accurate inventory levels through stock counts, reconciliations, and adjustments.

• Monitor inventory trends and recommend replenishment based on sales forecasts and production needs.

• Conduct cycle counts and assist with full physical inventory audits.

• Investigate and resolve discrepancies in partnership with warehouse and logistics teams.

• Update and maintain inventory data within Microsoft GP and Microsoft BC.

• Create, issue, and track purchase orders from initiation through delivery.

• Communicate with domestic and international vendors regarding pricing, lead times, and order status.

• Review vendor invoices for accuracy and coordinate with accounting to resolve discrepancies.

• Maintain item master data, vendor profiles, and pricing updates in Microsoft GP and Microsoft BC.

International Shipping & Logistics

• Coordinate international shipments, including documentation, customs requirements, and freight arrangements.

• Work with freight forwarders, customs brokers, and carriers to ensure timely and compliant delivery.

• Track inbound international orders and communicate delivery timelines to internal teams.

• Maintain accurate and organized international shipping documentation.

Foreign Exchange & Cost Analysis

• Monitor foreign currency pricing and understand how exchange rate fluctuations impact purchasing costs.

• Assist in calculating landed costs, including duties, freight, and currency conversion.

• Communicate cost impacts to management and support budgeting and forecasting processes.

SOP Development & Process Improvement

• Create, update, and maintain Standard Operating Procedures (SOPs) for inventory, purchasing, and logistics workflows.

• Identify opportunities to streamline processes and improve operational efficiency.

• Ensure SOPs are clearly documented, accessible, and consistently followed across teams.

Cross‐Department Collaboration

• Partner with warehouse, logistics, accounting, customer service, and product development teams to resolve issues and support business needs.

• Provide inventory and purchasing insights to management and other departments.

• Support cross‐functional initiatives that enhance supply chain performance and customer satisfaction.

Required Qualifications

• Experience in inventory control, purchasing, supply chain, or related operational roles.

• Proficiency with Microsoft Dynamics GP and Microsoft Dynamics 365 Business Central (BC).

• Strong Excel skills and comfort working with data.

• Excellent attention to detail, organization, and follow‐through.

• Strong communication skills for working with both domestic and international vendors.

• Ability to manage multiple priorities in a fast‐paced environment.

Preferred Qualifications

• Experience with international shipping, customs documentation, or freight coordination.

• Familiarity with foreign exchange concepts and landed cost calculations.

• Experience creating SOPs or process documentation.

• Background in consumer goods, home décor, or specialty wholesale/retail.
