Job Title: House Manager / Family Assistant

Employment Type: Full-Time | 40 hours per week
Schedule: Monday through Friday, with flexible scheduling of 8 hours per day between 8am-6pm, based on the family's needs and mutual agreement. Occasional evening and weekend availability may be needed for backup family support.
Compensation: $35–$40 per hour, commensurate with experience. W2

Requirements
- Maintain a smoke-free environment.
- Must be authorized to work in the United States.
- Valid driver's license and clean driving record required.
- Reliable transportation required.
- Candidates are required to be up to date on recommended vaccinations in line with American Academy of Pediatrics and Centers for Disease Control and Prevention guidelines (including Tdap/whooping cough and influenza), subject to applicable legal accommodations.
- CPR and First Aid certified, or willing to obtain certification prior to start.
- Comfortable and experienced with large dogs.
- NDA signing required prior to start.
- A strong commitment to maintaining a clean, comfortable home environment that supports a children's health and well-being, including thoughtful practices, such as regular handwashing, etc.
About Our Family
We're a busy, high-energy family based in northern New Jersey, and we genuinely love the full life we've built. Our home is the gathering place for family and friends—weekends are lively, holidays are celebrated around a full table, and there's almost always something happening. We embrace what we call our "organized chaos," and we're looking for someone who enjoys creating calm and order within it.
Our family includes our infant daughter, four well-loved dogs, and grandparents who live with us and provide childcare. One parent works primarily from home with regular work travel throughout the year. The other works in Manhattan four days a week.
This is the person who keeps life moving.
A great week means the refrigerator is stocked, laundry is folded and put away, dry cleaning is handled, vendors are scheduled, returns are completed, the pantry is organized, and travel is prepared before anyone has to think about it. Some days you'll coordinate landscapers, vets, or deliveries. Other days you'll meal prep, update the family calendar, run errands, or make sure everything is ready before a work trip or weekend of hosting.
No two days look exactly alike, but every day is about creating a home that feels prepared, organized, and effortless.

Who You Are
You are an experienced Household Manager/Personal Assistant who thrives on creating order, structure, and momentum. You naturally think like a project manager, always looking several steps ahead and connecting moving pieces before they become problems. You don't wait to be assigned tasks—you identify what needs attention, prioritize it, and execute confidently.
When you walk into the home each morning, you're already thinking about what the week requires. You know which vendors are coming, what groceries need replenishing, whether travel preparations are complete, and what appointments or errands should be handled before they become urgent. Rather than asking, "What would you like me to do today?" you're saying, "Here's what I've already handled, here's what's next, and here's what I need from you."
You are confident enough to manage up. If something needs attention, you're comfortable speaking up. If you need information to move a project forward, you ask directly. You understand that your role is to keep the household moving at the pace of the family's life—not simply respond to requests.

You maintain excellent boundaries, communicate with maturity, and understand the privilege and responsibility that comes with working in a private residence. Confidentiality is essential, and an NDA will be required.

Key Responsibilities
Household Management & Organization
- Creating and maintaining room-by-room organization systems
- Daily resets and light tidying of main living areas (kitchen island, surfaces, vacuuming high-traffic areas)
- Prep home for the weekly deep-clean (Fridays)
- Seasonal clothing swaps, decor transitions, and bedding rotation
- Manage donation coordination (regular pickups with local charitable organizations)
- Event, holiday, and guest prep — this is a gathering household, especially around the holidays
- Change batteries, light bulbs, and smoke detectors as needed
Family Support & Child Assistance
- Light supervision / backup childcare support in an as-needed capacity
- Oversight of scheduling child appointments and/or class registration
- Child-related errands
Meal Planning & Prep
- Grocery shopping 1–2x per week, with a focus on keeping the fridge fully stocked and ready — especially after travel
- Batch cooking for weekly family meals
- Coordinate with the family's meal prep service and manage ordering
- Ensure healthy snacks and fresh items are always on hand
- Kitchen tidying and maintenance; weekend gathering prep as needed
Inventory & Errands
- Track and maintain a running household supply list
- Proactively restock pantry, fridge, and household supplies before items run low
- Manage household subscriptions and recurring orders (diapers, pet food, household goods)
- Handle returns, dry cleaning drop-off and pickup, gift shopping, and mail management
- Box breakdown and package management
- Stock toiletries throughout the home regularly
Laundry & Linen Care
- Wash, fold, and put away household laundry
- Ironing, steaming, and special garment care (works alongside a professional stylist for event needs)
- Linen rotation with a focus on towels and bathroom linens (refreshed multiple times per week)
- Maintain organized and well-stocked laundry areas
Pet Care
- Daily feeding and one 20-30 minute walk per day for two dogs (can be walked together)
- Schedule vet, acupuncture and laser therapy appointments and coordinate transportation for senior dog
- Coordination of mobile groomer
- Administer medications to older dog
- Manage pet supply inventory (subscription-based ordering)
- Occasional dog sitting at the home during family travel is a plus, but not required
Vehicle Management
- Fueling and charging of family vehicles
- Take vehicles to hand car wash weekly or bi weekly as needed; bi monthly detailing of vehicles; Clean out items in vehicles weekly
- Schedule regular maintenance appointments
- Track registration and insurance for family vehicles
Vendor & Property Oversight
- Manage recurring service calendar (landscaping, pest control, HVAC, pool, housekeeper, etc.)
- Research, vet, and coordinate contractors and service providers; maintain vendor contact log with service history and rates
- Maintain a home maintenance log (work completed, costs, warranty information)
- Seasonal property maintenance, including pool opening and outdoor space upkeep
- Budget and receipt tracking by category; manage household expense tracker using a dedicated card
- Maintain household inventory, appliance records, and emergency contacts sheet
Deep Cleaning & Special Projects
- Occasional targeted deep cleans (refrigerator, oven, baseboards, humidifiers/air purifiers)
- Tackle organizational projects room by room
- Refresh main-living space common areas (entryway/mud room/kitchen island, etc.)
Administrative & Personal Assistant Support
- Develop and maintain household SOPs (pantry organization, pet routines, vendor house rules, etc.)
- Travel planning and logistics
- Skylight calendar management (including household schedules)-Gatekeeper of family schedules
- Receipt/budget tracking-family budget management, vendor list tracking for costs
- Event and appointment coordination
- Liaise with Client's EA/Chief of Staff to coordinate work schedule and travel
- Coordinate monthly work and personal event needs with stylist (wardrobe lookbook, tailoring needs, etc.)
- Coordinate birthday party planning, gifts, thank you cards, holiday cards
