We are seeking an experienced Executive Assistant to provide high-level administrative support to a senior leadership team within a fast-paced and professional corporate environment.
This role is ideal for someone who thrives on organization, enjoys supporting executives, and can successfully manage multiple priorities while maintaining confidentiality and professionalism. The ideal candidate is detail-oriented, proactive, and comfortable working independently with minimal supervision.
This is a hybrid position requiring onsite presence in Mt. Laurel, New Jersey approximately 2–3 days per week.
Key Responsibilities- Manage executive calendars, appointments, and meeting schedules
- Coordinate internal and external meetings across multiple stakeholders
- Prepare presentations, reports, meeting materials, and executive correspondence
- Assist with Board meeting preparation and related documentation
- Coordinate travel arrangements, including flights, hotels, transportation, and itineraries
- Prepare, code, and submit expense reports through Workday
- Maintain confidential records, reports, files, and administrative documentation
- Serve as a primary point of contact for internal and external business partners
- Support office operations including mail distribution, office supplies, and general administrative functions
- Respond to email and phone inquiries professionally and efficiently
- Prepare special reports, summaries, and other business documents as requested
- Provide day-to-day administrative support to executive leadership
- High School Diploma or GED
- 2–4 years of Executive Assistant, Administrative Assistant, or related experience
- Strong calendar management and scheduling experience
- Experience managing executive expense reports
- Proficiency with Microsoft Office Suite:
- Outlook
- Word
- Excel
- PowerPoint
- Excellent organizational skills and attention to detail
- Strong verbal and written communication skills
- Ability to manage confidential information with discretion
- Ability to multitask and prioritize competing deadlines
- Ability to work independently in a fast-paced environment
- Administrative or business-related education beyond high school
- Previous experience supporting senior executives, corporate officers, or directors
- Experience preparing materials for Board meetings
- Experience working with Workday
- Experience in project coordination or office administration
