We are looking for a detail-oriented and personable Administrative Assistant to join our team near Montvale, New Jersey. In this Contract-to-Permanent position, you will be the first point of contact for visitors and callers, ensuring smooth communication and a welcoming environment. This role requires excellent organizational skills and proficiency in Microsoft Office applications.
Responsibilities:
• Greet and assist visitors with a friendly and detail-oriented demeanor.
• Manage incoming calls using a multi-line phone system, directing them to the appropriate departments.
• Maintain organized records and files to ensure easy access to information.
• Schedule appointments and coordinate meeting room availability.
• Handle email correspondence promptly and professionally.
• Perform accurate data entry tasks to support administrative processes.
• Provide outstanding customer service to clients and team members.
• Assist in organizing office supplies and maintaining the reception area.
• Collaborate with colleagues to address inquiries and resolve issues efficiently.
• Proven experience as a receptionist or in a similar front desk role.• Proficiency in Microsoft Word, Excel, and Outlook.
• Strong interpersonal skills with the ability to communicate effectively.
• Familiarity with handling multi-line phone systems.
• Exceptional organizational and multitasking abilities.
• Attention to detail and accuracy in data entry.
• Courteous demeanor with a focus on being detail-oriented.
• Ability to prioritize tasks and work in a fast-paced environment.
