Studio Upkeep & Management Coordinator – Role Summary Overview The Studio Upkeep & Management Coordinator maintains a clean, organized, and professional studio environment that's always ready for live selling sessions, walk-ins, and video appointments. This role combines facilities management, product handling, light inventory coordination, and real-time support during live events. The coordinator ensures the studio functions seamlessly as both a showroom and broadcast space, allowing the founder and sales team to focus entirely on customer engagement. Core Purpose This role ensures the studio environment never becomes a barrier to business. Every surface must be clean, every product must be accessible, and every customer-facing moment must feel polished and intentional. The coordinator removes operational friction, enabling exceptional customer experiences without distraction or delay. Key Responsibilities Studio Upkeep & Readiness The studio must always be camera-ready and client-ready, reflecting the luxury positioning of the jewelry brand. Daily Maintenance: Clean and tidy the studio daily—dust surfaces, vacuum or sweep floors, ensure mirrors are spotless, and keep all areas clutter-free. This includes both customer-facing spaces and behind-the-scenes work areas. Session Setup: Before each live session, walk-in appointment, or video call, prepare the space by adjusting lighting to optimal settings, arranging seating for clients, positioning mirrors for product viewing, setting up display trays and props, and ensuring all necessary materials are within easy reach. Visual Merchandising: Manage the physical presentation of the studio, including display setups, branded backdrops, signage, and decorative elements that enhance the viewing experience both in-person and on camera. Studio Inventory Management: Maintain adequate stock of operational items—display trays, ring sizers, jewelry cleaning cloths, packaging materials, branded boxes, tissue paper, bags, styling props, and accessories. Organize storage areas and request replenishment when supplies run low. Product Handling Jewelry presentation must be flawless. The coordinator serves as the primary handler of jewelry samples within the studio. Organization and Accessibility: Organize products logically—by collection, type, metal, or whatever system enables quick retrieval during live shows or appointments. Ensure high-demand items are prioritized for easy access. Tagging and Labeling: Ensure each piece is properly tagged with relevant information (SKU, price, metal type, size) according to brand standards. Maintain accurate, legible, and consistent labeling across all studio inventory. Styling and Display: Arrange jewelry on mannequins, display busts, or presentation tools. Set up pieces for optimal camera angles and ensure each item is showcased in the most flattering way possible. Live Show Support: During active selling sessions, provide hands-on assistance—hand pieces to the presenter, swap products quickly between segments, note which items have been featured, track customer requests in real-time, and manage the flow of products on and off camera. Post-Show Processing: After each session, collect all showcased pieces, verify their condition, note any pieces that were sold or reserved, and return items to proper storage or pass them to fulfillment as needed. Coordination & Logistics The coordinator serves as the communication hub between the studio and other operational functions. Inventory Coordination: Work closely with the Inventory Manager to ensure smooth movement of products in and out of the studio. Collect items needed for upcoming shows, return pieces after sessions, update simple records of what was used and when, and flag any discrepancies or concerns. Calendar Management: Maintain a weekly studio schedule tracking all planned activities—live selling sessions, walk-in appointments, video calls, product photography, vendor visits, maintenance windows, and other events. Ensure the space is properly allocated and setup requirements are anticipated in advance. Vendor Liaison: For minor repairs, equipment servicing, cleaning services, or studio improvements, act as the point of contact. Schedule vendor visits, be present during service calls, communicate requirements clearly, and ensure work is completed to standard. Team Communication: Keep relevant team members informed about studio status, upcoming needs, schedule changes, or any issues that could impact operations. Proactive communication prevents surprises and keeps everything running smoothly. Health, Safety & Hygiene Safety and cleanliness protocols are essential when handling high-value luxury jewelry. Handling Standards: Follow established procedures for safely handling jewelry to prevent damage, loss, or mix-ups. Use proper tools, work on padded surfaces, keep pieces separated, and never rush through handling tasks. Security: Ensure all jewelry is securely stored when not in active use. Lock display cases, secure storage areas, and ensure products are never left unattended in accessible areas. After each show or appointment, account for all pieces and store them properly. Hygiene Standards: Maintain high standards of cleanliness—regularly sanitize surfaces that come into contact with jewelry or customers, keep the space free of dust and debris, and ensure the studio always smells fresh and feels welcoming. Equipment Care: Perform basic care of studio equipment—lights, cameras, monitors, microphones. Clean lenses, organize cables, replace batteries, and report any malfunctions promptly. Technical repairs would be handled by specialists. Skills & Attributes for Success Attention to Detail: In a luxury environment, small details matter. A fingerprint on a mirror, a mislabeled product, or a cluttered background can undermine the brand's image. Time Management: Coordinating multiple setup requirements, managing vendor schedules, and supporting live events demand excellent organizational skills and effective prioritization. Physical Stamina: This is an active role involving standing for extended periods, moving furniture and displays, lifting boxes of inventory or supplies, and maintaining high energy during long live selling sessions. Discretion: Handling high-value inventory and working closely with the founder requires trustworthiness and professionalism. Adaptability: Live events can be unpredictable. The coordinator must think on their feet, solve problems quickly, and remain calm under pressure. Communication: Clear, proactive communication with team members, vendors, and the founder ensures everyone stays aligned and issues are addressed before they escalate.
