Administrative Assistant

In this role, you will be the backbone of the department, ensuring that critical compliance, training, and operational functions run seamlessly.

  • Education: High school diploma, GED, or professional certification required.
  • Experience: 0–2 years of clerical or administrative experience.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Soft Skills: Interpersonal communication, a positive attitude, and the ability to handle highly confidential information with discretion.
  • Precision: High attention to detail and accuracy is a must for this regulated environment.
  • Preferred: Previous experience in a GMP/GXP (Good Manufacturing/Clinical/Laboratory Practice) environment is a significant plus.

Responsibilities

  • Compliance & Training: Process training documentation into the Learning Management System (LMS), verify entries, and manage Training Curriculum Change (TRC) forms to ensure regulatory accuracy.
  • Onboarding Coordination: Facilitate New Hire Orientation by sending appointments and preparing necessary training materials/folders.
  • Document Management: Handle hard copy and electronic logs, manage document archiving, and retrieve records to support audit requests.
  • Operational Support: Compose correspondence, manage office supply inventory, sort mail, and maintain departmental filing systems.
  • Collaborative Tasks: Assist in preparing presentation materials and coordinate with other administrative teams to balance workloads and coverage.
