Design Office: Located in Fort Lee, NJ
:
We are seeking a reliable and organized Office Administrator to manage daily administrative operations and ensure the smooth functioning of our office. The ideal candidate will be self-motivated, detail-oriented, and capable of handling multiple tasks efficiently. This role is pivotal in supporting our team and contributing to the overall productivity of the firm. The Office Administrator will report directly to the Office Manager.
Key Responsibilities:
- Oversee and coordinate office activities to maintain efficiency and adherence to company policies.
- Manage key calendars for Designers, Clients and Office.
- Manage correspondence, including emails, phone calls, and mail, ensuring timely and professional responses.
- Maintain and organize office records, databases, and filing systems for easy retrieval and compliance.
- Manage package coordination with UPS and Fed-Ex.
- Supporting Designers with a variety of tasks such as but not limited to; Labeling and managing incoming fabrics, labeling and organizing of samples, steaming and prepping materials.
- Pick up and returns of clothing samples.
- Specific tasks related to the fashion design industry (benchmarking, report filings, inventory reviews).
- Coordinate meetings and appointments, including scheduling, preparing agendas, and arranging necessary materials.
- Monitor and manage office supplies inventory, placing orders as needed to prevent shortages.
- Manage employee reimbursements.
- Assist in the preparation of reports, presentations, and other documents as required.
- Ensure the office environment is clean, organized, and conducive to productivity.
Qualifications:
- Proven experience as an Office Administrator, Administrative Assistant, or similar role.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and familiarity with office management software.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Ability to work independently and as part of a team.
- High school diploma or equivalent; additional qualifications in office administration are a plus.
