Description:
TEKsystems is seeking a professional and highly organized Administrative Assistant to support the Plant Manager and leadership team in a manufacturing environment. This role serves as the primary point of contact for visitors, vendors, customers, and employees, ensuring front-office operations run smoothly and efficiently. The ideal candidate will demonstrate professionalism, excellent communication skills, and the ability to manage multiple administrative functions in a fast-paced plant setting.
This is a fully onsite Contract-to-Hire opportunity based in Pennsauken, NJ, offering competitive hourly pay and access to a comprehensive benefits package for eligible candidates.
Core Responsibilities
- Welcome and assist visitors at the reception area, identify the purpose of their visit, and direct them appropriately.
- Maintain detailed and accurate visitor logs, ensuring proper registration procedures are followed for contractors and guests.
- Notify internal staff of guest arrivals and arrange escorts when required.
- Issue visitor credentials such as internet access details and user IDs.
- Perform inspections of personal belongings when necessary, in accordance with company procedures.
Administrative & Office Support
- Provide calendar coordination, meeting scheduling, and documentation preparation for management.
- Draft memos, reports, and other correspondence to support supervisors and leadership.
- Act as liaison for service providers including vending, cleaning, and coffee services, ensuring timely scheduling and service quality.
- Monitor and replenish office and breakroom supplies, managing inventory and placing orders as needed.
- Receive, sort, and distribute mail and manage express courier services such as FedEx and UPS.
- Coordinate catering and meal arrangements for meetings and company events.
Operational & Facility Coordination
- Oversee uniform distribution, returns, and vendor communication to maintain quality and timely delivery.
- Maintain a clean and welcoming reception, office, meeting rooms, and shared spaces.
- Identify maintenance issues and coordinate minor repairs for office equipment and facilities.
- Create purchase requisitions using TAP/SAP systems, track purchase orders, reconcile deliveries, and process goods receipts.
- Arrange business travel including flights, accommodations, and ground transportation.
- Support HR with onboarding logistics, employee engagement initiatives, recognition events, and wellness activities.
Skills & Qualifications
- Strong background in administration, reception, and customer service.
- Data entry proficiency and attention to detail.
- Experience supporting upper management.
- Manufacturing or plant environment experience is highly desirable.
- Ability to exercise sound judgment and problem-solving skills to address daily operational challenges efficiently.
Compensation & Benefits
This role offers a pay rate of $25.00 per hour.
