Job Overview:
The Dental Clinic Coordinator plays a vital role in ensuring an efficient and patient-centered experience by greeting and assisting patients throughout their visit. This position is responsible for maintaining accurate and complete patient records within the hospital software system, including registration, insurance verification, and billing information. The Coordinator schedules both inpatient and outpatient appointments, coordinating with internal departments and external facilities to optimize patient care and dental resource utilization. This role requires a strong understanding of insurance requirements, financial screening processes, dental coding, and billing procedures to support the seamless delivery of services and promote optimal department flow.
Qualifications:
Required:
- High School Diploma or Equivalent
- Minimum of 1 year experience in a fast-paced office
- Healthcare and/or hospital experience, preferably in a dental setting, with a knowledge of dental terminology
Preferred:
- Associate’s Degree
- Knowledge of dental software programs, such as Dentrix and Epic
- Knowledge of third party payers, billing requirements and reimbursement methods, dental insurance, insurance verification and TOS collection
Scheduling Requirements:
- Working Shift: Monday-Friday
- Day Shift: 7:45AM-4:15PM
- Full-Time, 40 Hours Per Week
Essential Functions:
- Greet patients in a professional and courteous manner, providing assistance with registration and appointment processes
- Obtain, verify, and update patient demographic, insurance, and financial responsibility information accurately in the hospital software system
- Coordinate inpatient and outpatient scheduling with internal departments and external facilities to ensure efficient workflow and resource allocation
- Understand and apply department criteria for financial screening, including self-pay deposits and time-of-service (TOS) collections
- Maintain proficiency in patient registration, insurance codes, and financial classes, offering guidance to staff on insurance eligibility
- Ensure accurate use of dental CDT terminology and proper distribution of patient information pamphlets
- Manage all pre-authorization and claims processes, including narrative review, x-ray submission, estimates, claim scrubbing, submission, follow-up, appeals, and deposit ticket creation
- Oversee daily end-of-day processes, ensuring the accuracy of deposits and cashier reports
- Provide cross-coverage for dental billing and front desk operations to ensure consistent departmental support
- Demonstrate flexibility by assisting colleagues during workload lulls and ensuring coverage during emergencies as needed
- Adhere to hospital policies, maintain confidentiality, and deliver patient-focused service in all interactions
