Job Overview:
The Office Manager is responsible for overseeing the daily operations of the office, accessioning/receiving, and transcription functions while supervising a team of 10+ staff members. This role ensures efficient workflow by coordinating communications, facilitating case assignments, and managing staff scheduling. The Office Manager serves as a liaison between pathologists, physicians, surgeons, hospital staff, and vendors to expedite requests and resolve issues promptly. The position also involves maintaining compliance with hospital, state, and federal regulations, as well as ensuring departmental adherence to safety, infection control, and accreditation standards. The Office Manager plays a key role in supporting both technical and non-technical tasks, quality assurance activities, and vendor relations, while fostering a professional, courteous, and patient-centered environment.
Qualifications:
Required:
- High School diploma or equivalent,
- 2 years experience in a medical office or hospital setting,
- Good written and verbal communication skills in English
- Familiarity with medical terminology
- Basic computer skills
Scheduling Requirements:
- Working Shift: Monday-Friday
- Day Shift
- Full-Time, 40 Hours Per Week
Essential Functions:
- Manage daily operations of the office, accessioning, and transcription with supervisory responsibility for 10+ staff.
- Respond to all incoming calls and triage inquiries appropriately.
- Provide courteous and professional assistance to physicians, patients, families, visitors, and staff.
- Ensure compliance with hospital, state, and federal regulations, including HIPAA and corporate compliance standards.
- Facilitate case assignments, determining appropriate pathologist coverage.
- Oversee staff scheduling, including vacations, call-outs, and coverage for accessioning and laboratory assistants.
- Perform quality assurance reviews of cases and manage validation studies.
- Coordinate transcription requests, slide requests, consults, and training activities.
- Manage patient registration, insurance/referral verification, and uploading of documents into LIS.
- Request and file medical reports from prior studies, ensuring proper logging and recordkeeping.
- Arrange and document the release of medical records in compliance with HIPAA laws.
- Fax reports to physicians and external facilities as requested.
- Order unstained slides, recuts, and other materials for internal and external requests (e.g., Caris, Natera, Guardant, CHOP, Mayo, Johns Hopkins).
- Collaborate with surgeons, physicians, and pathologists to resolve issues, including Epic chats and departmental inquiries.
- Coordinate with vendors, scheduling in-services and managing supply needs.
- Support technical work within Histology and Pathology as required.
- Maintain awareness of safety, security, infection control, and emergency preparedness procedures.
- Participate in mandatory in-services and adhere to environment of care and incident reporting policies.
- Ensure a safe, clean, and compliant patient and work environment.
- Perform other duties as assigned to support departmental operations.
