Billing Coordinator

Based in New Jersey, we are a nationally recognized law firm known for its client-focused approach collaborative culture and commitment to delivering practical results. The billing and finance team is expanding and seeking an experienced Billing Coordinator to join a growing team supporting attorneys and clients through accurate timely and efficient billing operations. This role is ideal for a seasoned billing professional who values precision collaborative teamwork and long-term professional stability within a supportive firm environment. This position offers a competitive base salary of $90,000–$100,000 plus comprehensive benefits.

Responsibilities

  • Prepare review and edit client invoices in accordance with firm policies and client billing guidelines while processing and managing E-billing submissions and executing complex billing functions including split-party billing discounts by matter and customized billing formats with accuracy and efficiency
  • Review billing data to ensure all billable time and expenses are properly accounted for while processing write-offs and billing adjustments and maintaining detailed billing records and supporting documentation
  • Coordinate with attorneys paralegals and administrative staff to resolve billing discrepancies and respond to client inquiries regarding invoices billing matters and payment status
  • Handle a high volume of monthly billing while creating customized billing formats and assisting with monthly and quarterly billing reports for management review

Qualifications

  • 3+ years of hands-on billing experience within a law firm required; experience with Elite 3E Aderant or equivalent legal accounting software required
  • Strong knowledge of E-billing procedures client billing guidelines and complex billing functions with demonstrated ability to manage high-volume billing operations accurately and efficiently
  • Strong organizational communication and time management skills with the ability to thrive in a fast-paced high-volume environment
  • Proficiency with Microsoft Office Suite particularly Excel with strong attention to detail analytical and problem-solving skills and the ability to work independently and proactively with minimal supervision; flexibility to adapt to changing priorities and occasional extended hours as needed
