Operations Admin Specialist Location Tinton Falls, NJ : Overview: The Operations Admin Specialist is responsible for the management of workflow throughout all business transactions within Organics & Aggregates. This role requires but is not limited to the requirements listed below starting with Material Procurement, Inventory Control, Reporting, DUDE, Purchasing, Payroll, and more. The Operations Admin Specialist works as a member of the Mazza Mulch team and reports to the Director of Recycling - Organics & Aggregates. Responsibilities:
  • Purchase and manage inventory of PPE, Line worker supplies, breakdown supplies, and bathroom supplies.
  • Maintaining the maintenance program (DUDE).
  • Assist in resolving any and all safety issues by communicating with the Director of Safety.
  • Provide all safety information needed to complete each monthly safety training assigned to the divisions.
  • Maintain inventory control for all associated divisions - Parts, Materials, Supplies.
  • Provide and maintain vehicle service reports using Whip Around.
  • Communicate with Operations managers and Directors to schedule yellow iron services according to recommendation, production and shop schedules.
  • Communicate priority repairs or scheduled service directly to the Director of Recycling - Organics & Aggregates.
  • Maintain files for all personnel in associated divisions. Update and remove accordingly.
  • Report 30/60/90 report cards to Human Resources.
  • Approving payroll.
  • Assisting in any UKG issues (direct deposits, benefit packages, etc.).
  • File any documentation or write-ups in employee's file.
  • Ensure all new employees are aware of and have access to their benefits package.
  • Use software tools to record and maintain information including time management, benefits, and salary training.
  • Assist with collecting data and information during material studies and other experiments executed in all associated divisions.
  • Communicate with vendors and employees regarding service issues and scheduling.
  • Update monthly Bucket calibrations.
  • Verify daily color machine calibrations and report back to the Director of Recycling or Manager.
  • Perform other assigned duties as needed.
REPORTING: o Maintain monthly proformas for all associated divisions. o Biweekly maintenance/operational reports (DUDE) o Inbound material reports (weekly) o Outbound shipping reports (Scots/Mazza) o Safety Training Reports (Twice a month, 1st week and 3rd week) o Purchase analysis (weekly every Tuesday) o Attendance reports PURCHASING: Sage Intacct, Excel o Seek out quotes for supplies/materials needed throughout all correlating vendors. o Cross reference new quotes with existing quotes and verify. o Generate purchase orders. o Conduct purchase meetings according to the existing schedule. Any quotes generated after must still be verified and confirmed before ordering. o Communicate with the accounting department accordingly. o Keep an excel spreadsheet with all orders, pricing, lead times, etc. MATERIAL PROCUREMENT : o Speak with townships and customers about materials, material rates, trucking, and when trucking material is available. o Negotiating rates. o Machine placement coordination with the Director of Sales - Major Accounts. Qualifications:
  • Must be legally eligible to work in the United States.
  • Associate's Degree in Business Administration preferred, but not required.
  • Bilingual in English and Spanish preferred.
  • Proven experience working in business operations.
  • Strong computer proficiency - Microsoft Office and Excel.
  • Strong organization and time management skills.
  • High self-initiative with the ability to work well under pressure.
  • Good social and presentation skills.
  • Strong problem-solving and analytical skills.
  • Strong oral and written communication skills.
