Essential Job Responsibilities
• Execute various activities to support the preparation and execution of staff events and meetings.
• Support team meeting activities, create agendas, take notes, ensure follow up of action items are identified.
• Support multiple staff members in day-to-day activities including scheduling meetings and general calendar management.
• Support reconciliation of invoices and prepare for payment
• Organize department electronic files and contracts
• Commitment to racial and health equity and to the Foundation’s vision, values, and Guiding Principles.
• Successful experience fostering an inclusive environment working as part of a multidisciplinary team and working effectively with people from diverse cultural, social, and ethnic backgrounds.
• Two (2) years of related office coordination experience. Meeting planning experience a plus
• Proficient in M365 products (Outlook, Word, Excel) and knowledge of general technology systems. Able to quickly learn organization specific programs to support execution of work.
• Working knowledge of basic audio/visual meeting tools including Zoom
• Good judgement and strong problem-solving skills, including knowing who and when to ask for help.
• Demonstrated attention to detail and excellent follow through.
• Customer service orientation, able to represent in a professional manner.
• Strong verbal and written communication skills. Note taking experience a plus.
• Able to prioritize and handle multiple priorities at the same time. Basic project management experience.
• Ability to work collaboratively with others internally, across the organizations and outside of the Foundation.
• Makes decisions, justify recommendations, responsive and clear.
• Able to lift to approximately 10-15 lbs.
• Able to work on-site in the Princeton office
• Technology proficient
• Project coordination – follow through /knowledge in use resources
• Self starter and multitasker
• Understanding of electronic file coordination
• Coordination of team based activities, meetings, agendas and follow up notes
• Calendar management of multiple calendars
• Experience booking travel and organizing and submitting expense reports. PHYSICAL REQUIREMENTS/WORKING CONDITIONS
The incumbent performs job duties in a normal business office environment. Tasks typically involve moderate physical activity, such as lifting, pushing, or pulling objects up to 15 pounds, and standing or walking for more than two hours per day. The incumbent may be required to attend meetings, both on-site, via phone or video conference.
