Kelly, in collaboration with Johnson and Johnson , is seeking an Administrative Assistant to provide comprehensive support to the Vice President, R&D Biosurgery, the R&D team , and the Senior Executive Assistant. This role focuses on managing key administrative functions to ensure the continued effectiveness and efficiency of the department. Key Responsibilities
- Manage calendars for the supervisor, resolving scheduling conflicts, and assist with meeting coordination.
- Handle complex travel arrangements in alignment with company policies and prepare expense reports as needed.
- Publish internal communications and general announcements.
- Maintain and update organization charts and departmental distribution lists.
- Coordinate interviews and facilitate the onboarding process for new R&D associates.
- Address highly confidential matters with professionalism, discretion, and good judgment.
- Oversee departmental supply management to maintain a productive office environment.
- Proactively undertake administrative projects and support overflow tasks from the Senior Executive Assistant.
- Exhibit high learning agility and proactively manage requests in a fast-paced, dynamic environment.
- Collaborate with team members and contribute to a positive and effective work environment.
- High School diploma required; Associates or Bachelor’s degree preferred.
- Minimum of 5 years of administrative experience in a fast-paced setting.
- Proven experience in executive environments.
- Proficiency in systems such as MS Office, Concur, Skype, IRIS, eMarketplace, and SharePoint.
- Exceptional verbal and written communication skills.
- Strong organizational and problem-solving capabilities.
- Ability to manage multiple priorities under time constraints.
- Demonstrated judgment and proactive problem-solving skills.
- Capacity to work independently with minimal supervision.
- Strong teamwork and interpersonal skills, including presentation abilities.
