Job Overview:
The Resource Specialist supports the operational readiness of the EMS Division by ensuring adequate staffing, schedule accuracy, and timely communication with field personnel and leadership. This role works closely with regional leaders to review staffing needs, fill open shifts, manage payroll entries, and provide essential reporting to support efficient and effective delivery of EMS services.
Qualifications:
Required:
- High School Diploma
- One year of experience in customer service, administrative, or EMS role
Preferred:
- Bachelor's Degree
- 3 years of experience in related fields
Essential Functions:
- Review daily, weekly, and long-range schedules in coordination with regional leadership to ensure adequate staffing coverage.
- Proactively identify vacant, peak-demand, and hard-to-fill shifts—including holidays and other critical dates—and communicate these needs to leadership.
- Contact employees directly to fill open or urgent staffing needs using established communication channels.
- Track and follow up on pending shift confirmations, schedule changes, or employee availability updates
- Collaborate with supervisors, managers, and schedulers to align staffing with operational priorities and service demands.
- Provide timely updates on staffing challenges, trends, and potential shortages.
- Assist in communicating schedule changes, coverage requirements, and expectations to field staff.
- Prepare and distribute regular and ad-hoc staffing and scheduling reports for leadership review.
- Highlight trends such as high-demand periods, holiday staffing issues, and recurring coverage gaps
- Maintain organized records of staffing activities, shift fills, and scheduling patterns.
- Enter, review, and validate payroll-related information to ensure accurate and timely compensation for field personnel.
- Correct or escalate discrepancies in payroll hours, shift coding, or schedule data.
- Support administrative tasks related to scheduling, workforce management systems, and documentation
- Provide feedback and recommendations to improve scheduling workflows and staffing efficiency.
- Assist with identifying opportunities for process enhancements, technology improvements, or communication strategies that support seamless operations.
