Project Management Coordinator
The Coordinator, Project Management provides support to Brother’s Business Transformation Office (BTO) and is responsible for enabling consistent project execution, governance compliance, and portfolio transparency. The role provides project management of projects or workstreams, coordination, administration, and reporting support across project management, portfolio management, and change management workstreams.
The Coordinator, Project Management also supports Project Managers and Senior Managers by assisting with the development and upkeep of BTO processes and assets required for governance of the portfolio of work. The role ensures that project information is accurate, timely, and aligned with enterprise standards to support effective decision-making and delivery execution.
Duties & Responsibilities:BTO Process, Asset Management, and Documentation
- Support the development, maintenance, and continuous improvement of BTO processes, procedures, and governance standards
- Assist in building and updating standardized project management templates, tools, and documentation to enable consistent BTO practices
- Contribute to the creation and ongoing maintenance of the BTO Playbook, documenting roles, responsibilities, and governance expectations
- Maintain the BTO asset repository (e.g., templates, deliverables, reference materials), ensuring version control, organization, and accessibility
- Coordinate periodic reviews and updates to ensure assets remain current, aligned to business needs, and reflective of lessons learned
- Ensure process and documentation updates are clearly documented, communicated, and easy for stakeholders to find and use
- Create and update BTO assets and templates as directed by BTO leadership
- Review existing documentation to ensure consistency with BTO standards
- Draft, edit, and finalize project and governance documents based on stakeholder feedback
- Ensure all assets support enterprise governance and delivery requirements.
Project Management and Delivery Support
- Coordinate and manage small-scale projects and/or discrete workstreams that align to or support Tier 1 and Tier 2 initiatives, ensuring tasks are planned, tracked, and delivered on time
- Develop and maintain workstream-level plans, schedules, RAID logs, and stakeholder communications to support integration with broader program timelines and dependencies
- Escalate risks, issues, and resource constraints as needed, and proactively partner with Tier 1/2 Project Managers to resolve blockers and maintain delivery momentum
- Provide ad-hoc project coordination, tracking, and administrative support as assigned by BTO leadership
- Assist scheduling, meeting coordination, action item follow-up, and documentation to support delivery execution
- Support BTO Project Managers in ensuring projects operate in compliance with governance standards, including status reporting, milestone tracking, and required approvals
Governance and Meeting Coordination
- Coordinate Portfolio, Change and Project meetings for BTO initiatives as assigned
- Schedule meetings, prepare and distribute agendas, and ensure appropriate stakeholder participation
- Capture, document, and distribute meeting minutes, decisions, and action items
- Support tracking and follow-up of actions and deliverables as directed
- Support the monthly reporting of BTO initiatives within the wider ECO organization
Project Reporting & Dashboard Support
- Support the creation and maintenance of BTO portfolio project health dashboards and reporting using Smartsheet
- Effectively use PPM tools to track project milestones, risks, issues, and status updates to support accurate portfolio reporting
- Facilitate weekly status updates from project teams and ensure timely communication to leadership
- Administer and support the Change Request logs to provide updates on approved changes requests across the portfolio and collaborate with management to report impact to scope, time and costs by project
- Support Financial reporting of accruals and change requests impacting project budgets as requested
Education
- Bachelor's Degree (or equivalent experience) in business management, information systems, or a related discipline
Experience
- 3+ years of experience:
- Supporting project management, or business transformation initiatives in a structured environment
- Coordinating meetings, documentation, and reporting across cross-functional teams
- 3+ years of experience:
Software/Technical Skills
- Proficiency with project management and collaboration tools (e.g., SMartsheet, MS Project, Excel, Powerpoint, SharePoint, or similar)
- Familiarity with project management methodologies (Waterfall, Agile, or Hybrid) - Preferred
- Portfolio reporting, dashboards, or governance forums - Preferred

This role will be a hybrid role. Subject to business needs, employees may work remotely up to two days per week. Assigned office days will be determined by your manager. #LI-Hybrid
Base Salary
- The targeted base salary range for this position is $70,000 - $84,000 per year.
- Base salary is determined by the education, experience, knowledge, skills, and abilities of the successful candidate, as well as factors such as internal equity, cost of labor in the hiring location, and alignment with market data.
- The base salary accounts for the entirety of the on-target earnings for this role. No additional incentives or variable pay are applicable.
