Third Party Administrative Specialist

Job Purpose:
The Administration Specialist works closely with the Third-Party team nurses and clinicians to facilitate the planning and implementation of patient care through administrative and clerical processes. In addition, this position enhances the effectiveness of the team performance by providing information management support; by implementing administrative systems and procedures; by monitoring specific third-party programs and by performing basic secretarial services. This position must also work in concert with the Marketing Department in support of all marketing and advertising activities to maximize the Third-Party Department patient intake opportunities.
Essential Functions and Accountabilities:
- Oversees designated third-party program
- Manages all pertinent information related to third- party program and relays information in a timely manner to all parties
- Manages meetings, documentation and tracking of databases related to specific third-party program
- Answers third- party patient inquiries specific to third- party program of interest to prospective and current patients.
- Ensures all FDA required documents are completed, accurate, uploaded to patients chart correctly and readily available for review.
- Collaborates with third- party nurse manager, lead physician and third- party team to ensure that all parties are kept up to date on the status of the program.
- Serves as back up to the administration specialists.
- Demonstrates flexibility to perform duties wherever volume deems it necessary within the team
Position Requirements/Experience:
- Minimum of two years' experience in a multi-physician practice (three or more physicians) with proven work experience in both clinical and administrative areas.
- Prior experience in women's healthcare - preferred
- Knowledge of medical terminology - required
Academic Training:
- High School Diploma acceptable with appropriate hands-on experience -- required
- Studies level : High School Diploma or equivalent (GED)
- Associate Degree preferred
- Studies level: Associate's degree
- Studies area: Sciences or other related field
- Bachelor degree in a science or health related field -- preferred
- Studies level: University Education (Bachelor's Degree)
- Studies area: Sciences or other related field
- CMA certification - preferred
- Studies level : Certification
- Studies area: Medical Assistant program
Technical Skills:
- Must be proficient in Microsoft Office, especially Outlook; prior EMR experience - preferred
- Previous experience with Artemis and OneNote-preferred
