Now Hiring for an Executive Assistant in Piscataway, NJ - Contract to Hire
Monday - Friday from 7:30 - 4:30 with overtime required if needed
Position Summary
The Executive Administrative Assistant provides high-level administrative and operational support to the Senior Vice President (SVP) of Hotel and Multifamily Real Estate Development. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is proactive, professional, and comfortable working with internal executives, external partners, consultants, and partners.
Key Responsibilities
Executive Support
• Manage the SVP’s daily calendar, including scheduling meetings, travel arrangements, conference calls, and site visits.
• Prioritize and manage incoming communications, including emails, calls, and correspondence, ensuring timely follow-up.
• Prepare, edit, and proofread presentations, reports, proposals, and confidential documents.
• Support meeting preparation — coordinate agendas, gather materials, and take/distribute meeting minutes.
• Anticipate needs of the SVP and proactively resolve administrative and logistical issues.
Project & Development Support
• Assist with tracking project timelines, budgets, and key deliverables for active hotel and multifamily development and operational projects.
• Coordinate with development partners and internal stakeholders to maintain project flow and communication.
• Maintain development files, contracts, and critical documents using company systems.
• Support due diligence and closing processes by organizing documentation and assisting with task tracking.
• Prepare internal project status updates and development pipeline summaries.
• Manage expense reporting, invoice processing, and vendor setup.
• Support development department onboarding, meeting coordination, and internal communications.
• Maintain confidentiality of all corporate, financial, and personnel matters.
• Represent the SVP and department with professionalism and discretion.
Qualifications
• Minimum 5+ years of executive administrative support experience, preferably within real estate, construction, or hospitality development industries.
• Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and document management platforms (Adobe Acrobat, etc.).
• Excellent written and verbal communication skills.
• Proven ability to manage multiple tasks with competing deadlines.
• High level of integrity, discretion, and professionalism in handling confidential information.
• Ability to work both independently and collaboratively across departments.
Preferred Attributes
• Experience supporting senior-level executives in a development or investment environment.
• Great project management skills
• Knowledge of real estate development terminology and project life cycle.
• Detail-oriented with strong problem-solving and organizational abilities.
• Demonstrated initiative and ability to anticipate executive needs.
