The Travel Coordinator is responsible for organizing and managing business travel arrangements for company employees, executives, and guests. This role ensures efficient travel planning, cost control, and compliance with company travel policies while providing timely support and assistance to travelers. In addition to coordinating travel, the Travel Coordinator will help optimize the company’s travel systems and processes, improving efficiency, tracking, and overall travel management workflows. The ideal candidate is highly organized, detail-oriented, and able to handle last-minute travel requests. Availability outside of regular working hours may be required to support urgent travel issues, disruptions, or time-sensitive booking requests, particularly across different time zones. Key Responsibilities- Coordinate and book domestic and international travel arrangements, including flights, hotels, and rental cars.
- Ensure travel itineraries are cost-effective, compliant with company travel policies, and aligned with business needs.
- Serve as the primary point of contact for employees regarding travel arrangements and travel-related questions.
- Provide support during travel disruptions such as cancellations, rebookings, and emergencies.
- Assist travelers with itinerary changes and last-minute requests.
- Prepare and distribute detailed travel itineraries and confirmations to travelers.
- Maintain accurate records of travel bookings and documentation.
- Ensure travel documents and requirements are properly communicated to travelers.
- Work with airlines, hotels, travel agencies, and transportation providers to secure bookings and negotiate preferred rates when possible.
- Maintain relationships with travel vendors and service providers.
- Ensure travel bookings follow company travel guidelines and budget considerations.
- Assist in maintaining and improving internal travel procedures.
- Track travel expenses and assist with reporting and reconciliation when required.
- Maintain travel records and assist with internal reporting on travel activity.
- Experience in travel coordination, travel management, or administrative support.
- Strong organizational and multitasking skills.
- Excellent communication skills and strong English proficiency.
- Ability to manage urgent travel requests and adapt to changing situations.
- Familiarity with travel booking platforms or corporate travel tools is preferred.
