Office Assistant - Japanese Bilingual

• Job Title: Office Assistant (Full-time, Non-Exempt)

• Location: Teterboro, New Jersey (On-site only)
• Working Hours: Monday to Friday, 8:30 AM to 5:30 PM (closed weekends and holidays)
• Salary: $45,000.00/year + Bonus + Mileage

【General Position Summary】
This position is responsible to develop and promote the Company products and services at the designated areas in order to increase the profit of the company as well as maintaining the existing customer base.

【Essential Job Functions】

〔NJ Office Sales Assistant / General Office Assistant〕

• Responsible for answering a phone and transferring them to proper staff.
• Organize conference room and seminar room before customer visits/tests/seminars.
• Prepare coffee, order lunch at the time of customer visits/tests, and clear up and basic cleaning after customer visits/tests.
• Create the machine quote, maintenance quote, and service quote as needed upon sales persons request.
• Issue service invoices.
• Perform data entry and updates in salesforce.
• Check, file, and send the NJ employees trip requisition, expense, report, payment request, absent request to CA office.
• Arrange shipping of machine and parts.
• Order office supplies before shortage to CA office, including purchasing items in person when necessary.
• Contact contractors for maintain building equipment.
• Handle petty cash and communicate with Accounting Dept.
• Travel arrangement for NJ employees request.
• File the plant categories email correspondences
• Order and arrange the exhibition items.
• Arrange shipping the machine and goods to show site.
• Attend exhibitions when needed.
• Support customers collaborating with Maintenance Department and Technical Department.
• Organize employees farewell, meeting lunch and Christmas party

〔OTHER & MISCELLANEOUS〕

• Performs special projects and other miscellaneous duties as assigned by supervisor.
• Maintains high ethical standards in the work place.
• Maintains good communication with management, other staff members and outside contacts.
• Complies with all company policies and procedures.
• Responsible for maintaining a clean and safe working area.

【Qualifications】

〔Education Experience〕

• Associate degree (AA) or Bachelors degree (B.A.) from two to four years college or university; or equivalent combination of education and experience is preferred but not required.
• Bilingual : Japanese bilingual is preferred.

〔Work Experience〕

• Experience in customer service is preferred but not required.
• Experience using Constant Contact, Mail Chimp or other Mass Email. Software is preferred but not required.
• Experience using CANVA and Salesforce is preferred but not required.

【Travel & Driving Requirements】

• Travel: Includes local (3-4 times/year for exhibitions), domestic overnight (2-3 times/year), and international (1-2 times/year, including Canada).
• Transportation: Ability to travel by both car and plane as needed.
• Driving: Valid drivers license required; must adhere to safety regulations and maintain mileage/expense records.
