Client & Project Coordinator
Harmony Design Group is a premier Landscape Architecture firm looking to grow our team by adding an independent and organized Project and Client Coordinator. Our firm prides itself on creating one-of-a-kind, high-end outdoor living spaces that incorporate softscapes with hardscapes, outdoor kitchens, pools, fireplaces and lighting to enhance the overall experience. Job SummaryThe Client and Project Coordinator provides essential office and project support to ensure the smooth execution of landscape construction projects. This role is responsible for managing and organizing documentation, assisting with vendor interactions and keeping projects running efficiently. The role acts as the primary customer liaison providing status updated and stellar customer service. This role ensures every job starts with zero confusion.
Key Responsibilities
Coordinate details on multiple landscape construction projects simultaneously from design through construction completion
- Customer Service point person with clients throughout the construction process to ensure client needs and preference are documented and communicated
- Generate a Client Intent Summary
- Create a Turnover Package
- Submit and track permits for jobs; update customers and production on status
- Collaborate across departments to transition projects from design to production
- Organize project files, including contracts, permits, drawings, change orders, and proposals
- Track project data including internal and client communication throughout the project
- Act as central communication hub with clients, designers, and production on a regular schedule to ensure alignment and efficiency
- Answer phones, respond to emails, and handle general office inquiries
Qualifications
- 3–5 years of experience in administrative support, preferably in a construction environment
- Associate’s degree or equivalent work experience
- Valid driver’s license

Work Environment
- Office location in Springfield, NJ
- Occasional local travel to town administration buildings
