Position Overview
We are seeking a warm, organized, and highly confident Dental Scheduling & Treatment Coordinator to join our growing team. As the first and last point of contact for our patients, you will set the tone for their entire experience. If you are seriously looking for your dental home, please consider applying.
This role is a unique hybrid of administrative excellence and patient advocacy. You will manage the daily flow of our schedule, handle insurance verification, and—most importantly—help patients say "yes" to their dental health.

Key Responsibilities
Patient Experience & Reception
- First Impressions: Warmly greet patients upon arrival, manage the check-in and check-out process, and ensure a welcoming reception area.
- Phone & Communication: Manage a multi-line phone system with a friendly, professional tone. Answer patient inquiries, manage appointments, and new patients.
Scheduling & Calendar Management
- Optimize the Grid: Efficiently schedule appointments to meet daily production goals while minimizing gaps and patient wait times.
- Recall & Outreach: Proactively contact patients with unscheduled treatment or outstanding recall appointments to keep the chairs full.
Treatment Presentation & Financial Coordinating
- Present with Confidence: Review dentist-prescribed treatment plans with patients
- Financial Discussions: Deliver transparent cost breakdowns, confidently discuss patient out-of-pocket responsibilities, and present payment options (e.g., third-party financing like CareCredit, in-house plans). Office is out of network with most insurances.
- Overcoming Objections: Address patient concerns regarding cost or anxiety with empathy, helping them prioritize their oral health.
Insurance & Billing Administration
- Insurance Management: Verify patient insurance benefits, calculate estimated co-pays, and submit clean claims to insurance providers.
- Payment Processing: Enter patient and insurance payments accurately into the dental practice management software ( Dentrix).
Qualifications & Skills
- Experience: experience in a dental or medical front office role is highly preferred.
- The "Confidence" Factor: Proven comfort discussing financial transactions
- Communication: Exceptional verbal and written communication skills. You must be able to explain complex dental jargon in clear, everyday language.
- Tech-Savvy: Familiarity with dental practice management software and digital communication platforms. Willing to train the right candidate
- Detail-Oriented: A knack for organizing schedules, tracking insurance claims, and keeping meticulous patient records.
- Under Pressure: Ability to multitask gracefully in a fast-paced environment where the phone is ringing and a patient is checking out simultaneously.
