T&M Associates is seeking an Administrative Coordinator to provide high-level administrative support to our Business Administration team in the Middletown, NJ office. This role is key to ensuring smooth daily operations across multiple departments, handling sensitive information with discretion, and serving as a professional point of contact for staff, clients, and vendors.
The ideal candidate is organized, proactive, and skilled at managing multiple priorities in a fast-paced environment. You’ll also collaborate with and provide guidance to other administrative staff, helping maintain consistency and efficiency across teams.
Key Responsibilities
- Coordinate daily office operations, meetings, events, and travel logistics for management and staff.
- Prepare presentations, reports, and correspondence, ensuring accuracy and professionalism.
- Manage client invoicing, track accounts receivable, and assist with collections as needed.
- Process contracts and vendor agreements in compliance with company policies.
- Conduct RFP searches and support proposal preparation and submissions.
- Provide general administrative support to team members and assist with special projects as needed.
Qualifications
- Minimum 5 years of administrative experience; experience in the AEC (Architecture, Engineering, or Construction) industry preferred.
- Strong proficiency in Microsoft Office Suite (Teams, Outlook, Word, PowerPoint, Excel); experience with Deltek is a plus.
- Excellent communication, organization, and problem-solving skills with strong attention to detail.
- Proven ability to manage multiple priorities and handle confidential information with discretion.
- Professional, proactive, and adaptable, with a commitment to supporting team success.
T&M Associates is committed to pay transparency and equitable compensation practices in compliance with applicable laws, including the New Jersey Equal Pay Act. T&M estimates that the salary range for this position will fall between $27.50 - $35.50 . The actual salary offered may vary within this range, depending on a variety of factors including the candidate’s experience, educational qualifications, specific skills and knowledge, as well as internal pay equity and geographic location.
