Human Resources Assistant
Duties
- Handles incoming calls for the HR department
- Maintains ongoing communication with candidates
- Set up interviews and follow up calls
- Facilitates training via Alchemy. New hire orientation, 30/60/90 and annual
- Maintains training records and communicates upcoming training to upper management
- Occasional support with visitor check-in and facility registration
- Prepares all new hires folders personal, medical, and payroll
- Maintains accurate and organized employee files (active/terminated) with strong attention to detail.
- Weekly data entry for company’s attendance policy
- Manages document handling, including photocopying, mailing, scanning, and emailing
- Submits background check requests and prepares documentation for pre-employment clearance
- Supports the employee offboarding process
- Provides guidance regarding company policies and documentation requirements
- Supports distribution of benefit packages including medical, life insurance, and retirement
- Performs HRIS data entry and updates locker, parking and Alchemy system records on a regular basis
- Strictly upholds confidentiality standards in both interactions and data management
- Performs other related duties as assigned
This position has no supervisory responsibilities
Qualifications
- Excellent verbal and written communication skills
- Excellent interpersonal and customer service skills
- Working understanding of human resources principles, practices and procedures
- Excellent time management skills with a proven ability to meet deadlines
- Ability to function effectively in a high-paced and at times challenging environment
- Excellent organizational skills and attention to detail
- Bilingual (Spanish) required
Education / Training
- High School Diploma or equivalent
- Proficient with Microsoft Office Suites, Outlook, Excel, Google Meets, Zoom and related software
- ADP workforce experience preferred
Related Experience/Requirements
- 2 +years’ experience in Human Resources and/or administration
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to step, climb, balance, squat, kneel, bend and reach above shoulders as needed. At times must be able to lift up to 10 pounds.
