We are seeking a skilled and detail-oriented Construction Project Administrator to join our growing team. You will work closely with our Chief Operations Officer and field teams to support all phases of construction projects — from initial planning through closeout.

What you'll do

Document control

• Manage, review, and track RFIs, submittals, and change orders
• Prepare, review, and track submittals for spec compliance
• Compile project closeout documents including O&M manuals, warranties, and as-builts

Financial management

• Process invoices and prepare AIA billing and pay applications
• Track job costs, manage requisitions, and maintain budgets
• Collect, review, and track lien waivers from subcontractors and suppliers

Project coordination

• Coordinate project meetings, agendas, and the master schedule
• Track project progress, budgets, and timelines with project management
• Conduct site visits to support quality control and safety compliance
• Serve as central point of contact for clients, subcontractors, and vendors

Contract administration

• Assist with drafting and organizing subcontracts and COIs
• Review blueprints, drawings, and specifications for project compliance

Qualifications

Required

• 2–5 years of administrative experience in construction or engineering
• Strong proficiency in Microsoft Excel and Word
• Ability to read and interpret construction drawings and specifications
• Strong organizational skills, attention to detail, and ability to multitask
• Excellent written and verbal communication skills

Preferred

• Bachelor's degree in Construction Management, Business Administration, or Engineering
• Experience with Procore, Plangrid, or MS Project
• Familiarity with AutoCAD or similar design software
• Knowledge of flooring materials (tile, hardwood, carpet, vinyl)
• Experience with AI-driven tools and construction technology platforms
