Legal Billing Coordinator

This role requires a hybrid in-office schedule in Florham Park, NJ. Budget for this role is up to a base salary of $100,000 with additional bonus eligibility. A comprehensive package of benefits including paid time off, medical / dental / vision insurance, and 401(k) to eligible employees.

The Legal Billing Specialist is responsible for managing the full lifecycle of the client invoicing process, ensuring all invoices are accurate, compliant with client billing guidelines, and submitted in a timely manner. This role requires strong analytical skills, exceptional attention to detail, and the ability to communicate effectively with attorneys, clients, and administrative staff. The ideal candidate is highly organized, able to manage multiple priorities in a fast-paced environment, and willing to work overtime when necessary to meet deadlines.

Key Responsibilities

• Edit prebills using Prebill Viewer and Aderant based on requests from billing attorneys.

• Generate a high volume of complex client invoices through Aderant.

• Ensure invoices comply with client billing guidelines and include all required supporting documentation prior to submission.

• Submit electronic bills through E-Billing Hub (EHub) with complete supporting documentation.

• Monitor invoice rejections, reductions, and appeals, and take prompt action to resolve issues.

• Respond to billing-related inquiries from attorneys, clients, and internal staff.

• Prepare ad hoc reports and support special projects as assigned.

Education & Experience

• Bachelor’s degree in Accounting, Finance, or a related field, or equivalent work experience.

Technology

• Proficiency in Microsoft Office (Word, Excel, Outlook).

• Experience with legal billing systems such as Aderant, Elite/3E, Prebill Viewer, E-Billing Hub, or Bill Blast preferred.

• Strong Excel skills required
