In this role, youll serve as a key support partner to the Senior Vice President, Supply Chain and cross-functional teams by managing high-impact projects, streamlining operations, and ensuring seamless coordination across stakeholders and initiatives at our headquarters 5 days per week.

What You'll Be Doing

  • Monitor and manage project workflows using Wrike, ensuring key deadlines and milestones are met across multiple initiatives.
  • Coordinate cross-functional projects involving the executive, facilitating collaboration between internal teams and external vendors.
  • Follow up on outstanding tasks, documentation, and deliverables while ensuring alignment with supply chain and operations teams.
  • Assist in securing necessary project permits and liaise with local authorities to ensure compliance with regulations and industry standards.
  • Support executive-level priorities by preparing agendas, presentations, and research materials for decision-making and meetings.
  • Manage complex calendars, schedule meetings, and proactively address potential conflicts to optimize the executives time.
  • Arrange and coordinate domestic and international travel, including accommodations and logistics, to ensure efficient execution of business trips.
  • Handle and track expenses with accuracy and provide timely financial reporting.
  • Create, edit, and proofread various communications such as memos, reports, and correspondence.
  • Maintain clear and professional communication across departments and with external stakeholders to foster positive relationships.
  • Serve as a trusted liaison between the executive and various stakeholders, managing confidential information with discretion.
  • Provide comprehensive administrative support to both the executive and operational teams, while proactively anticipating needs and delivering solutions.
  • Maintain accurate and up-to-date records, including contact databases and project documentation.
  • Take initiative on additional assignments and contribute to continuous improvement of processes and team efficiency.

What You Bring to the Table

  • Ability to be onsite 5 days per week
  • Ability to travel up by car to 25%
  • Minimum of 2 years' administrative experience
  • Minimum of 1 years experience supporting senior-level role
  • Strong organizational, time management, and follow-up skills
  • Strong communication skills, both written and verbal, with active listening abilities
  • Experience with managing relationships at all levels of the organization
