Position Overview:
Hudson Regional Hospital invites applications for the position of Laboratory Executive Assistant within our Clinical Laboratory Department. This role is designed to provide comprehensive support to our laboratory operations, with a special focus on pathology. The Laboratory Executive Assistant will be instrumental in ensuring the seamless operation of our laboratory services by assisting both the pathologist in charge and the Laboratory Administrative Director. This position requires a blend of administrative competencies and an understanding of laboratory workflows to enhance communication, manage documentation, and support daily laboratory functions.
Key Responsibilities:
- Transcription Work: Conduct precise transcription for pathologists, guaranteeing accuracy, attention to detail, and confidentiality for all medical reports and records.
- Case Registration and Report Management: Manage the registration process for laboratory cases, oversee the preparation, distribution, and filing of reports.
- Secretarial Duties: Perform a variety of administrative tasks to facilitate laboratory operations, including but not limited to organizing documentation, scheduling, and managing correspondence.
- Communication Management: Act as the primary liaison for all departmental communications, efficiently handling inquiries and fulfilling requests from both hospital staff and external partners such as outreach doctors.
- Slide and Block Coordination: Manage the logistics related to laboratory slides and blocks, including dispatch, tracking, archiving, and retrieval to support diagnostic processes.
- Support to Laboratory Administrative Director: Provide direct assistance to the Laboratory Administrative Director, encompassing tasks such as document management (copying, scanning, archiving) and other specific departmental needs.
- General Administrative Support: Offer broad administrative assistance across the laboratory team, aiding in tasks like document preparation, data entry, inventory oversight, and participation in audits and accreditation efforts.
Minimum Education and Qualifications:
- Bachelor's degree in healthcare administration, business administration, or a related field from an accredited institution.
- Experience in a laboratory or medical setting is preferred.
- Demonstrated organizational, communication, and interpersonal skills.
- Proficiency in medical transcription with a solid understanding of medical terminology.
- High level of discretion and the ability to handle sensitive information with integrity.
- Competence in using MS Office suite and familiarity with laboratory information systems.
