We seek a dynamic and detail-oriented individual to join our team as an Office Administrator/Bookkeeping Assistant. As a vital member of our small accounting firm, you will be responsible for providing comprehensive administrative support, assisting with bookkeeping tasks, managing documents, handling mailings, and ensuring the smooth operation of our office.
Responsibilities:
Bookkeeping Assistance:
- Assist with basic bookkeeping tasks, including data entry, reconciliations, and invoice processing.
- Help maintain accurate financial records and assist in preparing financial reports.
Document Management:
- Organize and maintain electronic and physical filing systems.
- Ensure documents are properly archived and easily accessible.
Mailing and Correspondence:
- Prepare outgoing mail and packages.
- Handle incoming mail and distribute it accordingly.
- Assist in drafting and proofreading correspondence.
Requirements:
- Proven experience in an administrative or office support role.
- Basic understanding of bookkeeping principles and experience with accounting software (e.g., QuickBooks).
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Discretion and professionalism when handling confidential information.
Preferred Qualifications:
- Associate degree or higher in Accounting, Business Administration, or a related field.
- Prior experience working in a similar accounting or finance firm role.
- Familiarity with document management software.
- Knowledge of mailroom procedures and postage systems.
