Description:
Bausch + Lomb, a global leader in eye health, is seeking an Executive Assistant to support the US Vision Care VP/GM. This role provides high-level administrative and operational support within a fast-paced commercial environment. The ideal candidate will act as a trusted partner, managing priorities, coordinating meetings, and ensuring smooth communication across internal and external stakeholders. Flexibility, discretion, and proactive problem-solving are essential.
Key Responsibilities:
Executive & Business Support
- Provide daily administrative support to the US Vision Care VP/GM, managing priorities, deadlines, and follow-ups.
- Anticipate needs, identify potential issues early, and resolve challenges independently while keeping leadership informed.
- Draft, proofread, and distribute communications on behalf of the VP/GM, ensuring professionalism and accuracy.
Calendar, Meeting & Event Management
- Manage complex calendars across time zones, scheduling meetings and coordinating logistics.
- Maintain department calendars for key business engagements, leadership meetings, and industry events.
- Coordinate recurring operating meetings, track action items, and ensure timely completion.
- Support major meetings and conferences, preparing schedules, materials, and logistics.
Travel & Expense Administration
- Plan and coordinate end-to-end travel arrangements including flights, hotels, and ground transportation.
- Process and reconcile expense reports, supporting approvals and documentation.
- Handle administrative purchasing needs, ensuring compliance with company policies.
Visitor & Onsite Coordination
- Coordinate visitor access, meetings, meals, and hotel arrangements.
- Welcome clients, customers, and vendors professionally to ensure a positive onsite experience.
Documents, Compliance & Administration
- Manage documentation requiring signatures and approvals; maintain organized electronic filing systems.
- Support preparation of presentations, reports, and meeting documents.
- Triage calls, inquiries, and requests efficiently.
Projects & Continuous Improvement
- Assist with special projects and cross-functional initiatives, tracking milestones and ensuring timely completion.
- Identify opportunities to improve administrative processes and leadership team effectiveness.
Qualifications:
- Minimum 3 years supporting senior-level executives in a commercial, matrixed environment (healthcare, pharma/med device preferred).
- Experience coordinating large meetings/events and supporting conference planning.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); comfort with ERP and collaboration tools.
- Exceptional organization, attention to detail, and ability to manage sensitive information with discretion.
- Strong communication, stakeholder management, and teamwork skills.
- Flexible, calm under pressure, and able to provide backup support as needed.
- Willingness to travel domestically up to 25% and remain reachable after-hours/weekends as required.
- Hybrid work schedule eligible: up to 2 days telecommuting, 3 days onsite.
