Reports to: Admin Manager
POSITION OBJECTIVE
The Front Desk Executive (Part Time) is responsible for keeping the day to day operations of our office running smoothly.
DUTIES & RESPONSIBILITIES
Duties include but are not limited to:
- Attend to calls from Customer’s, Partner’s & Vendors incoming office phone calls
- Work in our office and support the CEO’s office and other Sales Team’s working out of the office on the day-to-day operations.
- Manage the Housekeeping, Security, Electronic & supplies required for the smooth functioning of the Office.
- Coordinating with landlord & other vendors for services
- Taking care of CEO travel, meetings at the office
- Invoice management & other requirements
- Keeping office clean, Guest management, F&B, taking care of all admin requirements of other US offices, in coordination with the local SPOC. Any other duties assigned by reporting manager.
- Partner with team members to identify process improvements to strengthen our capabilities as a team.
- Document business processes and standard operating procedures as requested.
- Handle phone, email, fax, and physical or (digital) postal mail inquiries and respond or document appropriately.
- Ensure all statutory compliances and requirements are followed based on Local requirements.
- Keep all equipment’s functional and operational and ensure proper AMC & Maintenance is covered for them.
- Other duties as requested.
Sales ,IT Infra, Finance, Legal and Procurement Teams
EXTERNAL WORKING RELATIONS:
Vendors, service providers, landlords and agencies
JOB REQUIREMENTS:
EDUCATION:
- Graduate/certificate in office administration or high school
- 2+ years’ experience as a Front Desk Assistant in a Company
- Experience answering phones, managing office administration
- Familiarity with Gmail, Google documents and Microsoft Office Suite, including Word, Excel, etc.
- Knowledge of running a front desk operation in a Company .Experience in hospitality preferred
