Position Summary:
We are seeking a professional and highly organized Office Coordinator to serve as the first point of contact for visitors and callers, while ensuring the smooth day-to-day operations of the office. This role requires a dependable individual with excellent communication skills, strong attention to detail, and the ability to adapt to a wide variety of responsibilities. The Office Coordinator will support multiple departments and play an integral role in maintaining a positive, efficient, and professional office environment.
Key Responsibilities:
- Manage all incoming and outgoing mail, including opening, date stamping, uploading, distributing, and preparing mailings and packages.
- Index and organize correspondence for proper tracking and recordkeeping.
- Answer and direct incoming calls through the main phone line; respond to general information requests.
- Maintain and update office calendars to support scheduling needs.
- Monitor and maintain office supplies and ensure the office remains tidy and organized.
- Coordinate office meetings, including arranging logistics, ordering meals, and preparing meeting spaces.
- Plan and organize office events and celebrations.
- Provide onboarding support to Human Resources for new employees.
- Offer general office and administrative support as needed across departments.
Qualifications & Competencies:
- Prior experience in an office coordinator, administrative assistant, or front desk role preferred.
- Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
- Excellent verbal and written communication skills with a professional and welcoming demeanor.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office systems.
- Dependable, adaptable, and proactive in anticipating office needs.
Physical Requirements:
- Prolonged periods of sitting and working at a computer
- Must be able to lift 20 pounds
